JOB DUTIES:
-- Thorough understanding and knowledge of the association’s governing documents in terms of the On-Site Manager’s duties, and the responsibility of the association where unit-related issues are involved.
-- Maintains on a continuing basis up-to-date knowledge of the condition of all physical assets throughout the building and grounds, including exterior and interior components of the building and mechanical and electrical systems.
-- Performs inspections (at least three times per week) of building systems, the structure itself, and the grounds; identifies current or potential problems; independently schedules work to be done or develops recommendations for the action of the Board of Directors.
-- Supervises the performance of overall onsite staff and vendors maintenance functions independently.
-- As needed, engages local utility companies or private contractors to perform needed work; handles scheduling and assignment of work, submission of
reports and paperwork (e.g., invoices, unit inspection checklists, permits, and licenses). On own initiative, makes recommendations to the Board of Directors/ Community Manager and staff for needed repair, maintenance, or procurement.
-- Consults with the Board of Directors and provides independent opinion concerning capital improvement projects, including recommendations for establishing priorities among various projects to be done.
-- Ensures that needed supplies and materials are on-hand; as needed, purchases necessary supplies and materials for accomplishing the On-Site Manager’s function in the most efficient, cost-effective manner possible; coordinates completion and tracking of requisitions, invoices, and other related paperwork with the Portfolio Manager. Develops, implements, and maintains an inventory control program for all
supplies and materials.
-- Coordinates and oversees all work performed by contractors on the common areas.
-- Keeps the Board informed of the status of work in progress and identifies problems encountered, including instances where the work being performed does not meet contract requirements.
-- Ensures that all contractors performing work in the building, whether in common areas or residential units are aware of the location of emergency equipment,
procedures, and contacts within the community should an emergency situation develop during the course of the work being performed. Contractors working in units
and common areas should be reminded of license and bond requirements and sign up to be on Management’s approved vendors list.
-- Assists in facilitating and maintaining effective contractor/resident relations during large-scale, capital projects. Working with contractors, maintains up-to-date information on status of work being done, including schedule for work to be done in specific units; provides status information to residents and helps to resolve contractor/resident issues.
-- Complies with applicable Federal, State, County and or city statutes affecting the execution of the building manager function; understands thoroughly and adheres to Federal, State, County and or City safety standards as well as to generally accepted practices in the field with respect to safety, including the use of personal protective equipment when appropriate.
-- When requested by the Board of Directors, participates in monthly Board meetings and the annual meeting of the Association.
-- Being available during after hours during emergencies (mainly classified as leaks, fires, or damage to life or property) in person or by phone and having the capacity to deal with issues that arise during after hours.
-- Send out bill requests for in-unit maintenance.
-- Keep all unit information up to date on the website, door king, and Excel sheet.
-- Complete Resale Packages and Questionnaires on the Homewise website
-- Check the Vantaca Portal, email daily
-- Review maintenance engineer, Porter Maintenance, and contractors calendars daily,
weekly, monthly, quarterly, and yearly. Adjust calendars as needed for the community.
-- Send out bill requests or check requests to owners as needed. (no checks accepted at the building)
QUALIFICATIONS:
-- Minimum 5 years experience managing condominiums
-- Customer service oriented
-- Strong Phone Etiquette and Communication skills
-- Clerical Skills
-- Attention to detail and organizational skills
-- Ability to prioritize tasks and meet deadlines
-- Proficiency in Microsoft Office suite and adobe
