POSITION SUMMARY :

The Facilities & Safety Manager contributes to Northwest Harvest’s mission by coordinating all Northwest Harvest location services. This includes, Seattle WA – Corporate offices in Belltown & SODO Community Market, Distribution Centers in Auburn, Yakima and Spokane WA – and the Fruitvale Community Market in Yakima, WA. Working in partnership with operations managers and oversees external contractors, vendors, in all maintenance, repairs and facility emergencies.

This position is responsible for managing centralized maintenance & safety programs which will serve all Northwest Harvest locations and ensures all work orders are completed on time and meet the organization’s standards for quality. In addition, this role will handle floor to ceiling maintenance, performing duties to install, troubleshoot, repair, and store facilities and equipment according to safety protocols, predictive and productive maintenance systems, and processes to support the achievement of the organization’s business goals and objectives.

The successful incumbent serves by cultivating a safe, inclusive environment that includes a high-quality service delivery of all locations (Western WA, Eastern WA, and Central WA) based on the values inherent in Northwest Harvests mission, the principles of cultural proficiency, and ensures a high level of outstanding customer service through the delivery of quality, timely, and accuracy in operations while also ensuring the highest compliance standards. Schedule : This position may be required to work occasional off-shift hours as necessary for special events or other duties assigned.

Travel : Be responsive and adaptive to opportunities throughout Washington (WA). This can include but is not limited to local travel and occasional travel to Eastern and Western WA.

RESPONSIBILITIES : Facility Maintenance

  • Maintain ongoing communication with contractors, vendors, and team members
  • Collaborate with the Chief of Staff in review of all agreements / contracts
  • Oversee work order process and ensures that completion of work orders meet quality standards.
  • Oversee and implement preventive maintenance program
  • Ensure that staff is trained in building systems’ operations and emergency shut offs.
  • Oversee ordering and inventory of maintenance supplies
  • Respond to after-hours facilities emergencies
  • Work with the operations managers to manage security and key systems, and oversee staff use and possession of Northwest Harvest keys.
  • Work closely with operations managers and supervisors to prepare building locations for on-site inspections by external agencies
  • Read and interpret equipment manuals and work orders to perform required maintenance and service
  • Support the coordination of construction projects

Safety :

  • Safety committee chairperson, Coordinate and conduct Safety Committee meetings, Create Safety Committee meeting agendas and invites
  • Ensure compliance with OSHA and L&I regulations
  • Plan Quarterly Trainings for all staff to participate with vendors
  • Train and educate staff about safety with monthly topics, emails, training, posters, safety boards
  • Risk Assessment, emergency response planning and inspections of all sites
  • Implement emergency procedures (evacuations, fire safety, call down lists)
  • Maintain Teams channels for Safety Committee
  • Ensure safety binders are updated for all locations
  • Safety presentations for All Agency Meetings when requested
  • Perform safety audit checklists for all locations
  • Work with third party safety auditors
  • Provide appropriate follow-up on recommendations developed by the Safety Committee
  • Create and update the Safety SharePoint Hub
  • Equipment safety compliance program (battery watering, checklist, documentation, repairs)
  • Annual Continuity of Operations Plan (COOP) updates
  • Partner with the People Team on employee safety and communications
  • Space Management :

  • Coordinate with people managers for space allocation across all locations including assigning space for all new employees
  • Serves as a liaison between departments to understand workspace availability
  • Software and Licensing Management :

  • Management of programs for all NWH locations such as Brivo, Eagle Eye, Robin, JJ Keller, Alert Media, Guardian Security
  • Responsible for ZenDesk tickets related to facilities, maintenance, and safety requests
  • Responsible for business license portal (DOR), WSDA Food processing / licensing portal, and Planner for projects
  • Performs other duties as assigned.

    Physical Demands :

    While performing the duties of this job, the employee is regularly required to lift and / or move up to 5 pounds. The employee is occasionally required to lift and / or move up 50 pounds. For any lifting of over 51 pounds, assistance is provided either through an assisted lift or in a team lift environment consistently and repeatedly, with reasonable accommodation when needed. The employee is regularly required to stand for long periods of time; walk; use hands to finger, handle, or feel; balance; bend and reach with hands and arms; use feet to operate foot pedal operation; and talk or hear. Occasionally required to climb ladders, sit, stoop, kneel, squat, crouch, or crawl. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception, and ability to adjust focus.     MINIMUM QUALIFICATIONS :

    A combination of real-life experience, education, and training listed below provides an equivalent background to perform the work of this position.

    Successful completion of a Background check is required.

    Knowledge of :

  • Practical working knowledge of carpentry, plumbing, and HVAC, boiler and electrical systems
  • Knowledge of OSHA and other environmental regulations
  • Knowledge of general maintenance methods, operating requirements, and safety precautions related to facilities management
  • Well organized, detail and customer (internal and external) oriented self-starter
  • Intermediate to advanced knowledge with Microsoft Office applications; particularly Word, Excel, PPT and Outlook, Teams, and Zoom and ability to work efficiently and effectively with other organizational platforms such as ADP, SharePoint, Microsoft Dynamics NAV systems
  • Ability To :

  • EDUCATION AND TRAINING :

    High school diploma / GED and completion of a craft apprenticeship, or a combination education and experience with a personal orientation as a life-long learner.

    EXPERIENCE :

    Minimum (3) years facilities maintenance, or handyman experience

    DESIRED QUALIFICATIONS

  • Associate or BA Degree in Facility Management, Project Management
  • Certifications : Facility Management Professional (FMP), Certified Facility Manager (CFM), Sustainability Facility Professional (SFP), or Facilities Management Certificate (FMC) is desired.
  • Non- Profit experience is desired but not required
  • Experience working with a diverse workforce is desired
  • Project Management experience is desired but not required
  • LICENSES AND CERTIFICATIONS

  • Valid WA State Driver’s license
  • Forklift / electric pallet jack certification is desired or can be completed within 30 days after date of hire
