What are the responsibilities and job description for the Medical Administrative Assistant position at NWRTW - Northwest Return to Work?
NWRTW, a leading provider of comprehensive and objective work-related rehabilitation and evaluation services in Washington State since June 2007, is seeking an experienced medical/therapy scheduler for our CARF accredited multidisciplinary clinic.
What you will do:
- Coordinate patient schedules with providers, interpreters, and patients.
- Schedule patient appointments for all disciplines within our Occupational Rehabilitation Program (ORP).
- Answer phone calls, emails, and text messages related to scheduling.
- Able to coordinate and/or adjust complex (multi-discipline) appointments when necessary.
- Provide back-up support to reception as needed.
- Maintain a constantly positive professional image for the clinic, both in behavior and appearance.
- Verify eligibility of insurance coverage prior to scheduling patients as needed.
- Perform other administrative duties as assigned.
Qualifications:
- Possess a pleasant telephone manner and the ability to remain so, even in stressful situations.
- Display primary interest in internal and external customer relations and maintain a standard of exceptional courtesy, friendliness, and respect for others always.
- Able to communicate in a clear and concise manner with providers, co-workers, patients, interpreters, stakeholders, and the general public in person, over the phone, and through written correspondence.
- Proficient use of Microsoft Office applications such as Outlook, Word, and Excel.
- Experience in Electronic Medical scheduling is a significant plus.
- Knowledge of medical terminology.
- Excellent organizational skills, high attention to detail and accuracy, able to multitask, and prioritize.
- Able to maintain clinical and administrative records in accordance with NWRTW clinical practices, professional standards, and HIPPA guidelines.
- Positive attitude, team player, reliable, and punctual.
- Able to thrive and problem solve in a fast-paced environment.

- Demonstrate flexibility as needs, priorities, tasks, and procedures may change.
- High school diploma or GED required; AA degree in a health-related field desired.
- Bilingual in English and Spanish (required)
Work Experience
Requires at least 2 years of relevant clerical or customer service experience (preferably in a hospital or clinic setting).
Prefer 1 year medical scheduling experience.
Our MAA/Scheduler position requires rapid, regular, and proactive communication to schedule and re-schedule client appointments while ensuring coordinated communication between the client, therapists, and external stakeholders (doctors, insurance representatives, and other external healthcare providers).

Pay: $20.00 - $27.00 per hour
