Overview:
Next Custom Homes and NXT Cabinets are seeking a highly organized and detail-oriented Office Manager / Bookkeeper to oversee the daily operations of our office. The ideal candidate will manage administrative tasks, ensure efficient office procedures, and support financial operations. This role requires a proactive individual with strong leadership skills and a solid understanding of accounting practices.
Key Responsibilities:
- Accounts Receivable and Payable: Manage accounts receivable and accounts payable to ensure timely payments, collections, and the maintenance of accurate financial records.
- Data Entry and Bank Reconciliations: Perform data entry and handle monthly bank account reconciliations to maintain accurate financial reporting.
- Financial Reporting: Prepare monthly, quarterly, and yearly financial reports, including tax documentation and other necessary filings to ensure compliance.
- Payroll Preparation & Tax Filings: Oversee payroll preparation, ensuring timely and accurate payroll processing and payroll tax filings.
- Sales Tax Filings: Handle monthly sales tax filings to ensure compliance with state and federal regulations.
- 1099 Preparation: Prepare and distribute 1099 forms for subcontractors and other eligible vendors.
- Subcontractor and Insurance Tracking: Track and maintain subcontractor documentation, including Certificates of Insurance (COI), Subcontractor Agreements, Lien Waivers, and W9s. Ensure insurance requirements are met.
- Purchasing & Supplies Management: Oversee purchasing of office supplies and materials, ensuring that necessary supplies are stocked and available.
- Multi-Company Bookkeeping: Manage the books for multiple companies within the organization, ensuring proper inter-company transactions and reconciliations.
- General Office Coordination: Oversee office activities and maintain a productive work environment. Support office procedures and assist with the development of policies to improve office efficiency.
- General Ledger and Job Costing: Perform general ledger accounting, job costing, and allocate receipts for ongoing projects.
Requirements:
- Proven experience as an Office Manager or in a similar administrative role.
- Strong knowledge of accounting principles, including accounts receivable, accounts payable, tax preparation, general ledger accounting, and job costing.
- Proficiency in accounting software such as QuickBooks Desktop, Adaptive, inBuild.
- Excellent 10-key typing skills with high accuracy and attention to detail.
- Ability to write clear financial reports and perform detailed reconciliations, ensuring accuracy and compliance.
- Exceptional organizational skills with the ability to prioritize tasks effectively in a dynamic environment.
- Strong communication skills, both verbal and written, with an emphasis on clarity and professionalism.
- Ability to work independently and manage multiple priorities, while also working collaboratively within a team environment.
- A proactive approach to problem-solving with strong decision-making capabilities.
