Position Summary: The Executive Assistant to the Chief Talent/Human Resources Officer (CTHRO) provides high-level administrative support related to the implementation of operational activities and programs pertaining to the work of the Division of Human Resources (DHR). The role involves managing day-to-day office operations, coordinating special events, and supporting key HR initiatives. Additionally, the Executive Assistant will act as the primary liaison for the CTHRO, assist with office management tasks, and help organize internal and external communications. This role also involves overseeing programs related to employee engagement, retention and talent management within the Division of Human Resources. Performs related work.

Reports to: Chief Talent/Human Resources Officer

Direct Reports: N/A

Key Relationships: Senior Leadership within the Division of Human Resources, Chief of Staff, Deputy Chief Talent/Human Resources Officer, external partners, vendors and the public.

Responsibilities

Administrative Support

  • Manages the calendars of the Chief Talent/Human Resources Officer and senior leadership, coordinating meetings and appointments.
  • Drafts correspondence, handles inquiries, and ensures timely follow-up.
  • Provides research, prepares reports, and organizes materials for HR initiatives and special projects.
  • Acts as a point of contact for HR-related inquiries, providing exceptional service to internal and external stakeholders.

Office Management

  • Oversees daily office operations, ensuring a well-organized and efficient environment.
  • Maintains HR calendars, files, and documentation for easy access.
  • Manages office supplies and equipment and ensures that the office is well-maintained.
  • Develops and implements office procedures, identifying opportunities for operational improvements.

Event Coordination

  • Plans and coordinates internal and external HR events, including employee recognition programs, professional development workshops, and team-building activities.
  • Leads the logistics for monthly “Voice of the Employee” sessions and other employee engagement events.
  • Organizes and manages book club activities, ensuring meetings are scheduled, books selected, and discussions facilitated.

Human Resources Exposure

  • Assists with employee recruitment efforts, including candidate outreach, interview coordination, and onboarding.
  • Contributes to retention strategies and employee engagement initiatives.
  • Assists in the development and execution of training programs, workshops, and leadership development initiatives.

Customer Service and Communication

  • Maintains professional communication with vendors, internal and external partners, and HR staff, ensuring smooth operations.
  • Provides high-quality customer service and manages sensitive HR-related matters with professionalism and discretion.

Qualification Requirements

Minimum

  • A baccalaureate degree from an accredited college and two (2) years of experience in community work or community centered activities in an area related to the duties described above; or
  • High school graduation or equivalent and six (6) years of experience in community work or community centered activities in an area related to the duties as described above; or
  • Education and/or experience which is equivalent to “1” or “2” above. However, all candidates must have at least one (1) year of experience as described in “1” above.

Preferred

  • Bachelor’s degree in Human Resources, Business Administration, or a related field.
  • 3-5 years of experience in an administrative, office management, or event coordination role, preferably within an HR or customer service setting.
  • Strong organizational skills, attention to detail, and ability to manage multiple tasks simultaneously.
  • Excellent communication skills, both written and spoken, with the ability to interact with diverse audiences including Artificial Intelligence (AI).
  • Proficiency in Microsoft Office 365 applications.
  • Strong customer service orientation and the ability to handle confidential information.
  • Previous experience in a human resources or talent management environment.
  • Experience with event planning, project management, and organizational development.
  • Proficiency with HRIS systems or other related software.

Salary: $70,000 - $90,000

(Internal candidates who are selected for this position and who currently hold comparable or less senior positions within the DOE will not earn less than their current salary.)
