The Fire Department, City of New York (FDNY), seeks a full time Principal Administrative Associate in the Bureau of Health Services. Reporting directly to the Director of the Bureau of Health Services (BHS), the successful candidate will undertake several crucial tasks to ensure efficient management of medical records. The candidate will maintain an open file system for the BHS Patient Medical Record Library and be responsible for the daily filing of medical records received from both the Bureau of Health Services Clinic and external providers. They will confirm the accuracy of new charts with the HIRS database before filing them in the medical record room. Additionally, the role involves coordinating requests for duplication of medical records for BHS and the WTC Health Program, verifying the accuracy of documents before they are mailed to the requester, and ensuring the timely release of requested medical records. The candidate will also review member folders to extract medical information related to injuries, retrieve and return folders from the medical records room based on a list provided by the Medical Review Board Supervisor, and file documents in binders. Mailing member reminder letters and ensuring compliance with HIPAA rules and regulations are also key responsibilities. Furthermore, the candidate will scan documents to convert paper records into digital formats, ensure quality control of the scanned documents for clarity and accuracy, organize digital files in appropriate electronic folders and databases, maintain scanning equipment, troubleshoot issues, coordinate maintenance or repairs as needed, and assist in the development and implementation of document management systems to enhance digital filing processes. Effective communication skills and the ability to work independently or as part of a team are also essential.

Minimum Qualifications

  • A baccalaureate degree from an accredited college and three years of satisfactory full-time progressively responsible clerical/administrative experience, one year of which must have been in an administrative capacity or supervising staff performing clerical/administrative work of more than moderate difficulty; or
  • An associate degree or 60 semester credits from an accredited college and four years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience described in "1" above; or
  • A four-year high school diploma or its educational equivalent approved by a State's department of education or a recognized accrediting organization and five years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience as described in "1" above;
  • Education and/or experience equivalent to "1", "2", or "3" above. However, all candidates must possess the one year of administrative or supervisory experience as described in "1" above. Education above the high school level may be substituted for the general clerical/administrative experience (but not for the one year of administrative or supervisory experience described in "1" above) at a rate of 30 semester credits from an accredited college for 6 months of experience up to a maximum of 3½ years.

Residency Requirement

New York City residency is generally required within 90 days of appointment. However, City Employees in certain titles who have worked for the City for 2 continuous years may also be eligible to reside in Nassau, Suffolk, Putnam, Westchester, Rockland, or Orange County. To determine if the residency requirement applies to you, please discuss with the agency representative at the time of interview.
