Organization Summary:

New York City School Support Services (“NYCSSS”) is a 501(c)(3) not-for-profit created in 2016 to employ custodial helpers for NYC Public Schools. (“NYCPS”) We employ over 7,000 school custodial helpers across NYCPS’ 1,400 school buildings. All NYCSSS custodial helpers are supervised by NYCPS Custodial Engineers (school building managers) who are employed by NYCPS’s Division of School Facilities. (“DSF”)

NYCSSS was created by the City of New York for this purpose and provides these services exclusively to the City of New York. NYCSSS is overseen by a 5-member Board of Directors which includes the Schools Chancellor (of NYCPS) and Budget Director. (from NYC’s Office of Management and Budget, or “OMB”)

Job Description:

The IT Operations Manager position is a key role for NYCSSS. This role is responsible to:

· Lead and manage all aspects of IT operations, ensuring the smooth running of technology systems and integration with business operations.

· Develop strategies to align IT initiatives with business objectives, improving efficiency and effectiveness.

· Oversee system performance, identifying opportunities for optimization, and implementing solutions to improve business processes.

· Troubleshoot and resolve IT-related issues, providing timely support for both hardware and software systems, with assistance from our Managed IT Service Provider.

· Lead IT and operations projects, from concept through completion, managing timelines, budgets, and resources.

· Collaborate with cross-functional teams to design, implement, and integrate system upgrades, new software, and operational improvements.

· Administer and optimize Salesforce, including configuring custom fields, objects, views, and user layouts.

· Design and create custom Salesforce reports and dashboards to track key metrics, ensuring accurate and accessible data reporting for leadership and teams.

· Manage data imports, exports, and updates within Salesforce to ensure clean, accurate, and up-to-date information.

· Regularly perform data cleansing and updates as needed to maintain data integrity and optimize system performance.

· Implement process automation features in Salesforce (e.g., workflow rules, approval processes, email alerts) to streamline operations.

· Manage the integration of Salesforce with other software tools and internal systems, ensuring smooth data flow and improved cross-functional operations.

· Provide user training on Salesforce best practices and serve as the primary point of contact for troubleshooting and support.

· Support software applications (e.g., Teams, Adobe, Zoom) and third-party platforms (Mailchimp, DocuSign) used across the organization.

· Manage access control systems (key cards, security software) to protect physical and digital assets.

· Manage relationships with third-party vendors and software providers, ensuring service agreements are met and that external tools are integrated effectively into the company’s operations.

· Stay current with emerging technologies and industry trends, recommending innovative solutions to address business challenges and improve operations.

· Continuously assess and improve the efficiency of operations and technology systems to meet evolving business needs

· Ensure that business continuity plans are up to date and tested within the organization to ensure preparedness.

Required Qualifications:

· Bachelor’s degree in information technology and Business Operations, or related field.

· 5 years of experience in IT operations management, business operations, or a related role.

· Strong understanding of system administration, cloud platforms, and enterprise software configurations (Salesforce, Microsoft 365, etc.).

· Excellent systems and procedural analysis skills.

· Excellent written and verbal communication skills.

· Project management skills and the ability to handle multiple tasks simultaneously.

· Familiarity with system testing, including creating test plans and conducting QA activities.

· Ability to collaborate with cross-functional teams and senior management.

· Experience with HR and Payroll systems.

Preferred Qualifications:

· Strong proficiency in analyzing and improving workflows, business processes, and technology systems.

· Salesforce Administrator or Developer certification (a plus).

· Project Management Professional (PMP Certification)

Experience working with unions and understanding of labor relations and union contracts.

Job Type: Full-time

Pay: $75,000.00 - $90,000.00 per year
