What are the responsibilities and job description for the Administrative Support position at NYS Parent Teacher Association?
New York State Parent Teacher Association, the oldest and largest child advocacy association in New York, is looking for a full‐time Administrative Support Associate.
The Administrative Assistant acts as the Programs/Office Associate of a not-for-profit association working with the Operations/Events Manager on tasks related to awards, programs, events, exhibitors, and office related tasks. This position also provides general backup and office duties as assigned. Supervision is provided by the Operations/Events Manager.
EXAMPLES OF RESPONSIBILTIES
Routine responsibilities include, but are not limited to:
· Provides reception duties including telephone, greeting and mail distribution
· Serves as a member of the Programs and Awards Teams, generating award applications and documents
· Provides Reflections Program support to volunteer Arts Specialist and assists with the Celebrations of the Arts
· Provides support to volunteer Recognitions Specialist, including processing all awards in office
· Assists volunteer Literacy Specialist with literacy programs
· Oversees office functions for Jenkins Scholarships and Gazzola Fellowship
· Serves as Administrator for Every Child Travels Safely Grant and informs the Designated Officer and Programs Coordinator on project
· Provides other Programs Associate duties as defined
· Able to make bank deposits with deposit detail for bookkeeper
· Aids Treasurer and bookkeeper with expenses, vouchers and checks when needed
· Attends (when requested) and provides support for NYS Parent Teacher Association functions during the year, including Board Orientation, Legislative Summit, Summer Leadership Conference, and Convention
· Assists in the implementation of conference and convention logistics related to workshops, displays, A/V and technical arrangements, vendors and exhibitors
· Assists in the preparation of state events and meetings; preparing conference packets and shipping arrangements for equipment and supplies to and from conference locations
· Completes copy work orders for event workshops as requested
· Performs other duties as assigned
Position Qualifications: NYS PTA is searching for a motivated team-player who is eager to bring forward creative, new, and innovative ideas, and committed to our mission of serving diverse New York families, educators and students. The ideal candidate will be organized, highly responsive, and have Associate degree or equivalent experience preferred.
Strong computer and office technology skills including proficiency with Google Suite, Microsoft Word, Excel, PowerPoint, Canva, and Gmail, as well as demonstrated proficiency with verbal and written communication are preferred.
Candidates should demonstrate the ability to work independently on a variety of tasks with attention to detail and accuracy.
