Overview:
Under the direction of the Director of Divisions, correspond with division members through direct telephone and email inquiries, prepare large scale quarterly mailings, filing and assist with financial record keeping. Review and reconcile bank statements, quarterly journal register reports and yearly audits. Assist with data entry, administrative work as well as preparation and processing of elections notices and receipts.
Position is based in Latham, NY (office setting).
Responsibilities:
- Assist with review and reconciliation of division financial records.
- Answer phone and email inquiries regarding financial documentation, funding, and policies.
- Generate monthly bank statements from Bank of America Works system and key information into Access system for monthly and quarterly mailings and reporting.
- Report any divisions that have not submitted required reports to the Director of Divisions.
- May occasionally assist with preparation and processing of election notices, ballots, and receipts.
- Compute divisions’ quarterly payments and yearly allotments; and examine for divisions that have surpassed their yearly allotments.
- Assist with and perform trainings and workshops for elected officials on required financial policy management.
- Consistent and reliable attendance.
- Other duties as assigned.
Qualifications:
- High school diploma.
- At least two years’ experience in customer service.
- One year experience in accounting (preferred).

- Excellent communication skills (written and verbal) with the ability to clearly communicate matters to all levels of management.
- Proficient in Microsoft Office with expertise in Excel.
- Strong analytical and problem-solving skills.
- Able to identify opportunities for improvement.
- Strong organizational skills including time management and attention to detail.
- Ability to work independently and collaborate with various team members.
- Consistent and reliable attendance is critical.
Salary and Benefits:
The salary range for this position is $48,471.00 (minimum) - $59,995.00 (maximum).
