What are the responsibilities and job description for the Admissions Scheduler - Behavioral Health position at Nystrom & Associates Ltd?
As an Intake and Scheduling Coordinator at Nystrom & Associates you will be the first point of contact for patients - answering in-bound phone calls and making out-bound phone calls to schedule patients for medical appointments at one of our outpatient mental health clinics. You'll be part of a call center team helping patients who are experiencing personal, emotional, marriage, family or psychological problems. You'll play an important part of that process by answering phones and handling calls in a friendly, welcoming, and timely manner.
Responsibilities include:
- Answer patient phone calls in a timely and courteous manner
- Accurately schedule and educate patients on appropriate mental health services
- Collect payment information for copayments, private payments, patient balances and records payments
- Escalate phone calls to the Call Center Management Team/Clinic Office Managers when appropriate
Key Attributes of a successful candidate include:

Customer service skills – an empathetic, active listener, who has strong follow through skills and understands the importance of providing compassionate customer service.
- Individuals with previous experience working in a fast-paced food/beverage industry role (such as: barista or waitstaff), as well as banking (such as a teller) or childcare (nanny, special education assistant, etc.) tend to excel in this role
- De-Escalation skills– at times, you will take calls from individuals in a crisis of some kind, the ability to utilize de-escalation skills in those situations is key.
- Critical thinking skills – the ability to think creatively, problem solve, work independently, and identify how to best address the issues a patient may be experiencing.
Requirements:
- Able handle a high volume of calls
- Strong ability to multi-task, handle stress, deescalate, and problem solve
- Positive attitude and ability to be flexible
- Proficient with using computer systems and typing; Working knowledge of Microsoft Office is ideal but not required
- Bachelor’s Degree preferred; High School Diploma required
- An interest in psychology, counseling, the behavioral sciences, social work, or healthcare is preferred
