Position Summary:
We have an exciting opportunity to join our team as a FGP Assistant Site Director (35 hours a week).
In this role, the successful candidate under the direction of the FGP Medical Director, the FGP Assistant Site Director will be responsible for oversight and management of front end and operational activities and adherence to policies and procedures for the Department of Psychiatry's Faculty Group Practice located at One Park Avenue, 8th Floor, New York, NY. This key administrative role will collaborate with practice leadership to implement, optimize and monitor operational performance of front-end activities, and policies including the ambulatory call center for customer service and appointment scheduling, billing, reporting, and other initiatives. This position will work closely with colleagues in the Faculty Group Practice Central Office to implement system wide initiatives and collaborate with departmental administrators, physicians, and others throughout the institution.
Job Responsibilities:
- Operationalize the strategic directives of senior management related to the financial management of the FGP and practice growth.
- Keep up on regulatory policies and industry changes that may affect the manner in which we conduct business and disseminate this information to the FGP clinicians and staff.
- Plans, develops, directs, and monitors initiatives to improve patient care.
- Direct responsibility for HR functions, including hiring, terminations, evaluations, and merit increases.
- Works with the FGP Manager to onboard new faculty as needed.
- Oversee planning and implementation of changes to the EMR (Epic) related to Psychiatry FGP documentation.
- Plans, directs and coordinates the day-to-day activities of the faculty group practice. Enforces FGP and NYU policies and procedures; develops and maintains ambulatory policies and procedures for the administration of the practice
- Perform operational assessment of existing practice against financial plans; both the annual budget and long-term needs and goals. Implement any approved recommendations coming from the practice assessment; including salary changes, personnel reductions/additions, expense reductions, etc.
- Develop, implement and continuously improve tools and systems to provide critical financial and operational information to leadership and make actionable recommendations on both strategy and operations in support of the financial results. Identification of new practice management products and technologies that may enhance operational efficiencies and revenue enhancement.
- Manage the financial performance of the practice by developing the preparation of monthly reporting tools. Identify and correct errors in the payroll and accounting systems. Review and approve all expenses being charged to the practices.
- In conjunction with practice leadership, collaboratively responsible for preparation, identification and implementation of new business ventures, business plans for new clinicians, and monitoring achievement and adherence to business terms, benchmarks and goals.
- Monitors clinicians in baskets and open encounters to ensure outstanding items are addressed in a timely manner.
- Manages billing and front end processing including authorizations, referrals, charge capture, co-pay collection, etc. while engaging department leadership, physicians, billing vendor representatives, and a wide array of contacts throughout the FGP and the medical center to coordinate activities and obtain expected results.
- Plans, develops, directs and monitors initiatives to improve revenue cycle processes and productivity and overcome revenue cycle challenges by identifying areas for improvement, facilitating workflow changes, and reporting on outcomes to monitor overall performance.
- Manage the departmental clinical website's content.
- Collaborate with the Office of Communications and Marketing on initiatives to ensure that the NYU Langone Health community, as well as communities external to NYU Langone, are informed of the department's clinical services and advancements.
Minimum Qualifications:
To qualify, you must have a Master's Degree in Business, Health Administration, or related field with a minimum of 7 years of progressive leadership experience in medical practice management; or equivalent combination of education and experience, preferably in a large group practice or academic medical center. Successful track record in leadership and staff management. Strong understanding of the principles and processes of physician office and revenue cycle management. Demonstrated success in working with physicians.
Experience with IT systems used in medical management; EPIC EMR/Registration/Billing) experience required. Excellent communication skills are essential to interface effectively with diverse internal and external professional groups and committees.
Ability to present data and ideas in user-friendly language. Keen attention to detail with proven analytical and problem-solving abilities.
Ability to effectively prioritize and execute tasks in a high-pressure environment.
Strong customer service orientation. Experience working in a team-oriented, collaborative environment and able to effectively communicate with all levels of the organization.
