Parts Manager

Essential Duties and Responsibilities:

  • Works with the Parts Director to establish and meet department sales goals and maintain proper stocking levels.
  • Manages and trains department personnel, focusing on customer service and growth, adhering to the O’Brien Auto Team philosophy and culture.
  • Adheres to all factory policies, ordering and stocking procedures.
  • Assists all customers (retail and shop) in selecting required parts in a friendly, professional and efficient manner.
  • Informs customers of companion part requirements and specials and ensures that the customer is exposed to the full product line.
  • Answers phone calls, providing price quotes and other information.
  • Reviews body shop estimates to be sure the parts that are ordered are correct and all pricing is in line with the estimate.
  • Provides a high level of service to internal and external customers.
  • Gives immediate attention to out-of-stock parts or shop materials.
  • Locates out-of-stock parts from outside source and submits an emergency order, if necessary.
  • Notifies the service advisor and the customer when special ordered parts have been received.
  • Notifies the body shop when all parts have arrived and when they will be delivered.
  • Pulls orders for delivery to body shop, making sure all parts are tagged with customer names and job number.
  • Follows up on back-ordered parts.
  • Verifies  back-order files weekly and returns to vendors, or stocks those items not picked up or required.
  • Replenishes assigned inventory daily.
  • Makes sure all internal requests for parts are billed on service repair order.
  • Receives payment from retail customers or obtains credit authorization.
  • Ensures that all customers receive their copy of the invoice.
  • Issues credit for parts returned, ensuring that the original invoice, or its number, is available so that purchase and pricing can be verified.
  • Issues and tracks requested shop tools to technicians.
  • Keeps orderly records of all repair orders, invoices, insurance estimates and special-order parts.
  • Sets up orders for delivery or pick-up.
  • Keeps front and rear counter areas clean and uncluttered.
  • Participates in all training programs that are made available, completing required factory training and keeping training current.
  • Keeps current on new products and product updates.
  • Maintains professional appearance.
  • Perform related duties as assigned by the Parts Director.
  • Maintain compliance with all company policies and procedures 
  • Contributes to organization success by accepting new assignments, helping team members, learning new skills, and striving to improve team results.



Education and/or Work Experience Requirements: 

  • Valid Illinois Driver’s License.
  • Excellent, spotless driving record (no speeding tickets, DUI convictions, moving violations, etc.).
  • Effective verbal and written communication skills, including ability to effectively communicate with internal and external customers.
  • Always courteous, a good listener, and ready to answer customers’ questions.
  • Must be able to work under pressure and meet deadlines, while maintaining a positive attitude and providing exemplary customer service.
  • Ability to work independently and to carry out assignments to completion within parameters of instructions given, prescribed routines, and standard accepted practices.
  • High school diploma or GED Preferred.  


Environmental and Physical Requirements: Work is performed in a well-ventilated and well-lit repair shop area.

  • Ability to safely and successfully perform the essential job functions consistent with the ADA, FMLA and other federal, state and local standards, including meeting qualitative and/or quantitative productivity standards. 
  • Ability to maintain regular, punctual attendance consistent with the ADA, FMLA and other federal, state and local standards.
  • The physical requirements of the job include, but are not limited to:  standing, talking, walking, hearing/listening, bending, twisting, stooping, kneeling, squatting, crouching, crawling, reaching overhead, pushing, pulling, balancing and the ability to use a computer and telephone.
  • Exposure to noise, vibration, hazards, and oils on a regular and continuous basis.
  • Ability to work in all weather conditions, be subject to extreme cold and extreme heat while performing the job.
  • Must be able to lift and carry up to 50 lbs., occasionally, more than 50 lbs.

O’Brien Auto Team Employee Benefits
Insurance
Health insurance is available for employees who are regularly scheduled to work 30 or
more hours per week. Employees are eligible to participate in the OAT insurance
program after 90 days of employment.


The O’Brien Team does participate in the premium cost of the employees health, dental
and vision insurance. The remainder of the premium cost is payroll deducted bi-weekly
as is the cost for any other insurance an employee elects to participate in.


 Employees are given up to $25,000 Life insurance at no cost
 Additional coverage is available for employee
 Coverage available for spouse and dependent children

401K Retirement Plan
OAT team members are eligible to participate in the OAT 401K Retirement Program
after they are 21 years of age and have worked for OAT for a minimum of 6 months.
OAT matches employee contributions up to $500.00 per year.
Enrollment is 2 times per year. 


Vacation
All full time O’Brien Auto Team employees begin with 1 week vacation time. Vacation is
earned after each calendar year of employment. Please see the OAT Employee
Handbook for specific details.
PTO (Personal Time Off)
PTO is earned at a rate of 2 hours per full calendar month worked for a total of 3 PTO
days per year. Please see the OAT Employee Handbook for specific details. PTO
accrual begins after 90 days of employment.
Part Time Employee Paid Time Off
All part time employees will accrue .77 hours of paid time off for every week worked.
Time is available for use after 90 days of employment. Policy details are available in
BambooHR.


Paid Holidays
Full time Team members who have worked a minimum of 90 days are eligible for
holiday pay per the employee handbook.
