Job description

Essential Duties and Responsibilities: The Receptionist is the first point of contact for customers. Receptionists will provide administrative support across the organization. Receptionists will handle the flow of people through the business and ensure that all responsibilities are completed accurately and delivered with high quality and in a timely manner.

  • Serves customers by greeting, welcoming, directing, and announcing them appropriately.
  • Answers, screens, and forwards any incoming phone calls while providing basic information when needed.
  • Maintains security by following procedures.
  • Perform other clerical receptionist duties.
  • Listens attentively to customers in order to satisfy the customer’s needs.
  • Understands and complies with federal, state, and local regulations that affect the new and used vehicle and finance departments.
  • Performs related duties as assigned by the Office Manager.
  • Maintains compliance with all company policies and procedures, including NADA Code of Ethics and O’Brien Auto Team Code of Conduct.

Education and/or Work Experience Requirements:

  • Excellent verbal and written communication skills, including the ability to effectively communicate with internal and external customers
  • Excellent computer proficiency (MS Office – Word, Excel and Outlook)
  • Maintains a professional appearance
  • Ability to organize, multi-task, prioritize and work under pressure.
  • Must be able to work under pressure and meet deadlines, while maintaining a positive attitude and providing exemplary customer service
  • Ability to work independently and to carry out assignments to completion within parameters of instructions given prescribed routines, and standard accepted practices
  • A high school diploma or GED is required.
  • Associate degree preferred.
  • Prior experience in a similar role desired. Auto industry and/or accounting experience preferred.

Environmental and Physical Requirements: Work is performed in an Office Environment. Employees are protected from weather conditions or contaminants, but not necessarily occasional temperature changes.

  • Ability to safely and successfully perform the essential job functions consistent with the ADA, FMLA and other federal, state, and local standards, including meeting qualitative and/or quantitative productivity standards.
  • Ability to maintain regular, punctual attendance consistent with the ADA, FMLA, and other federal, state, and local standards.
  • Sitting, standing, talking, walking, hearing/listening, bending, stooping, reaching, and repetitive hand motions (such as typing) are all physical requirements of the job.
  • Must be able to lift and carry up to 20 lbs.
  • Must be able to talk, listen and speak clearly on the telephone.

O’Brien Auto Team Employee Benefits
Insurance
Health insurance is available for employees who are regularly scheduled to work 30 or
more hours per week. Employees are eligible to participate in the OAT insurance
program after 90 days of employment.
The O’Brien Team does participate in the premium cost of the employees health, dental
and vision insurance. The remainder of the premium cost is payroll deducted bi-weekly
as is the cost for any other insurance an employee elects to participate in.

401K Retirement Plan
OAT team members are eligible to participate in the OAT 401K Retirement Program
after they are 21 years of age and have worked for OAT for a minimum of 6 months.
OAT matches employee contributions up to $500.00 per year.
Enrollment is 2 times per year. Once you qualify for the Retirement Plan, you
must wait until there is an open enrollment to participate.
Unless an employee chooses to opt out, once you are eligible, you will be enrolled at a 3% per
paycheck salary contribution.
Vacation
All full time O’Brien Auto Team employees begin with 1 week vacation time. Vacation is
earned after each calendar year of employment. Please see the OAT Employee
Handbook for specific details.
PTO (Personal Time Off)
PTO is earned at a rate of 2 hours per full calendar month worked for a total of 4 PTO
days per year. Please see the OAT Employee Handbook for specific details. PTO
accrual begins after 90 days of employment.
Part Time Employee Paid Time Off
All part time employees will accrue .77 hours of paid time off for every week worked.
Time is available for use after 90 days of employment. Policy details are available in
BambooHR.
Paid Holidays
Full time Team members who have worked a minimum of 90 days are eligible for
holiday pay per the employee handbook.
Paid holidays for non-sales employees include:
● New Years Day
● Memorial Day
● Independence Day
● Thanksgiving Day
● Christmas Eve
● Christmas Day
Paid holidays for sales employees include: Thanksgiving Day, Christmas Eve &
Christmas Day.
Paid Training/Career Development
The O’Brien Auto Team encourages professional development to promote the ability for
our employees to earn more income and take on additional responsibilities within the
company.
When available, we offer paid job specific and/or manufacturer training.
ChromeBook
Employees that have a position that requires the use of a laptop will be provided a
ChromeBook or laptop computer for company use.
