Job Description for Part time Legal Assistant
Responsibilities
- Be present in the office on a set schedule.
- Responsible for maintaining court docket and ensuring that cases are disposed of or moved to a future date per attorney’s instructions.
- Delivers mail to and from post office and sorts accordingly.
- Preparing and proofreading pleadings for court docket per attorney’s instructions.
- Obtaining and communicating with law enforcement, Department of Health and Services and other agencies about evidence for cases as well as court dates and times.
- Efiling documents per attorney’s instructions within Iowa EDMS and filing documents from EDMS in case management system as they are approved.
- Utilizing case management system to effectively keep cases, their pleadings, evidence, contact information, and other information and documents organized.
- Assisting in administering fines collection program including sending out payment plan letters, keeping track of payments, running payments, and drafting documents for contempt actions, if necessary.
- Manage calendars, schedule appointments, and coordinate meetings
- Answering office phones and greeting visitors, as necessary.
- Working with Victim Witness Coordinator to identify witnesses and victims, as necessary and passing those individuals and their information onto the Coordinator.
Required Knowledge, Skills, and Abilities
- Thorough knowledge of modern office procedures, practices and equipment.
- Thorough knowledge of modern office filing systems and procedures.
- Thorough knowledge of modern standard bookkeeping principles, practices and procedures.
- Some knowledge of all legal and court procedures.
- Ability to prepare legal documents for cases as requested.
- Ability to deal with a wide range of persons, including situations in which individuals may be upset over some issue involving the County or law enforcement.
- Ability to serve in a confidential work relationship.
- Ability in writing to prepare correspondence according to standard business practices.
- Ability to accurately type correspondence, reports and memorandum.
- Ability to complete financial processing procedures.
- Ability to learn County policies and Departmental rules, procedures, practices and objectives.
- Ability to communicate effectively with others, both orally and in writing, using both technical and non-technical language.
- Ability to understand and follow oral and/or written policies, procedures and instructions.
- Ability to prepare and present accurate and reliable reports containing findings and recommendations.
- Ability to operate a personal computer using standard or customized software applications appropriate to assigned tasks.
- Ability to use logical and creative thought processes to develop solutions according to written specifications and/or oral instructions.
- Ability to perform a wide variety of duties and responsibilities with accuracy and speed under the pressure of time-sensitive deadlines.
- Ability and willingness to quickly learn and put to use new skills and knowledge brought about by rapidly changing information and/or technology;
- Integrity, ingenuity and inventiveness in the performance of assigned tasks.
Education and Experience
- High School Diploma, GED or equivalent required.
- Associate or Bachelor’s degree preferred but not required.
- Work experience in the legal field or a legal office preferred but not required.
- Any equivalent combination of experience and training which provides the knowledge, skills and abilities necessary to perform the work.
