High level knowledge of compliance across a broad scope e.g., HR, Finance, Tax, Privacy / Legal, InfoSec, International, etc.
Understanding and / or use of :
- Vendor Lifecycle Management
- Applicable regulatory agencies, procedures, forms e.g., OFAC, IRS, International Tax Compliance, AML, SOC-2, DOL Independent Contractor Rules
- Applicable systems e.g., SAP, Certa, Jira
- Vendor Management Logistics
- External purchasing and procurement experience and / or OCT's purchasing processes, systems, data flow
Core duties :
The Vendor Compliance Specialist is responsible for administrative and process management actions focused on vendor onboarding and management activities associated with all requests being processed through the third-party risk management (TPRM) lifecycleThese activities include ensuring compliance with policy; working to safeguard and accurately maintain data-integrity; effectively communicating and collaborating with stakeholders and suppliers to keep all requests, documentation, and information up to date; assist other departments and team members with administrative tasks related to projects and requests being managed through the vendor management pipelineManage the day-to-day transactional and workflow processes related to vendor management activities, including the completion of due diligence actions, and the identification and mitigation of risksAssist all stakeholders with performing and completing vendor management activities / transactionsAccurately manage and maintain the collection and recording of vendor management data, ensuring the integrity and quality of vendor attributes and analysisMonitor the vendor management pipelineMitigate risk by ensuring that vendors adhere to the organization's policies, standards and regulatory requirementsManage the Vendor add and change process, including determining the vendor tax classification and the income code assignmentPerform the vendor validations steps with the IRS and all required government watch-lists, communicates and works to resolve issuesMaintains and administers the Accounts Payable / Purchasing master file to ensure the integrity and accuracy of the data basePerform vendor validation for all new vendor requestsDetermine vendor classification-based vendor W9 formsDetermine Independent Contractor status based on W9, services being performed and confirms completion of the ICDC formsManage new and vendor change requestsSkillsets :
