Position Overview:
The Bilingual Office Manager will play a critical role in overseeing the administrative and operational functions of both the tax and legal divisions. This role requires exceptional organizational skills, bilingual fluency in English and Spanish, and the ability to think creatively and suggest improvements to streamline operations.
Key Responsibilities:
• Office Administration:
• Manage daily operations to ensure the smooth functioning of the office.
• Oversee scheduling, client communications, and correspondence in both English and Spanish.
• Maintain and organize firm records, ensuring compliance with legal and tax regulations.
• Operational Efficiency:
• Review current workflows and procedures; propose and implement strategies to improve efficiency.
• Develop and enforce office policies to streamline processes and enhance client service.
• Financial Oversight:
• Manage billing, invoicing, and accounts receivable.
• Assist in budget preparation and monitor firm expenses to ensure cost-effectiveness.
• Human Resources Management:
• Coordinate the hiring, training, and supervision of support staff.
• Maintain employee records and oversee performance evaluations.
• Client Relations:
• Serve as the primary point of contact for client inquiries, ensuring a high standard of service.
• Assist in onboarding new clients and maintain positive client relationships.
• Technology and Facilities Management:
• Oversee the functionality and maintenance of office equipment and technology.
• Manage relationships with vendors and service providers.
Qualifications:
• Associate degree or higher in Business Administration, Office Management, or a related field.
• Fluent in both English and Spanish, with excellent verbal and written communication skills.
• Proven experience in office management, preferably within a legal or tax environment.
• Proficiency in office software, including MS Office Suite and QuickBooks.
• Strong organizational skills with the ability to multitask and prioritize tasks effectively.
• Creative problem-solver with a willingness to learn and adapt.
• Knowledge of legal and tax terminology and procedures is a plus.
