O'Melveny is seeking a dynamic and proactive Records Manager in one of our West Coast offices to spearhead our records management operations across our West Coast offices. This pivotal role entails managing the firm's information and records assets, ensuring their accuracy, maintenance, and accessibility. The Records Manager will supervise various staff projects, oversee the transfer and intake of client files, and manage the onboarding and offboarding process of attorneys and staff. The successful candidate will streamline the firm’s information management throughout its lifecycle, contributing to the efficiency and productivity of our operations. This role also involves managing departmental projects, processes, and assignments, while playing a crucial part in executing the Firm's strategic plan pertaining to the Information Governance Program. We seek a leader who can not only manage but also innovate and improve our information management practices.

Essential Duties And Responsibilities
- Foster a culture of continuous improvement by guiding and inspiring staff, and ensuring their growth aligns with departmental and firm standards, needs and goals.
- Help to champion the implementation and maintenance of an effective information governance framework, proactively monitoring data quality and spearheading the adoption of cutting-edge data governance tools and technologies.
- Help drive the integration of innovative technologies, such as generative artificial intelligence, to enhance efficiency and introduce automation in the records management process.
- Take the lead in generating and managing compliance and audit reports, including retention schedules and destruction logs, turning data into actionable insights.
- Collaborate with IT teams to effectively manage, operate and maintain information technology systems, including the implementation of new records management software and document management systems.
- Take ownership of the onboarding and offboarding process for attorneys and staff, including the management of the intake and transfer process to ensure the proper archiving, confidentiality, and security of all client files.
- Build strong partnerships with third-party vendors for secure storage, destruction, or digitization of records, actively participating in reviewing vendor contracts for optimal compliance and cost-effectiveness.
- Lead quality control reviews for departmental procedures and processes, fostering a culture of excellence and continuous improvement across all operations.
- Carry out additional duties and responsibilities as assigned.
- Five years supervisory experience in a large, legal records environment.
- A strong command of records center management principles is required.
- A four-year college degree and/or IG certification is preferred.
