Job Title: Legal Secretary/Paralegal
Location: Mt. Pleasant, Michigan
Job Type: Full-time; Monday – Friday, 8:00 a.m – 5:00 p.m
Overview:
We are seeking a highly organized and detail-oriented Legal Secretary/Paralegal to support our legal team in a fast-paced law office environment. The ideal candidate will have a strong understanding of legal procedures, excellent communication skills, and the ability to handle multiple tasks effectively. As a Legal Secretary/Paralegal, you will play a vital role in ensuring the smooth operation of daily legal tasks, providing administrative support, and assisting attorneys with case preparation.
Key Responsibilities:
- Provide administrative assistance to attorneys, including managing schedules, appointments, and meetings.
- Prepare and format legal documents such as pleadings, motions, discovery, and contracts.
- Maintain and organize case files, client records, and legal documents both in physical and digital formats.
- Draft correspondence, including letters, emails, and client updates.
- Answer phone calls, take messages, and direct calls to appropriate personnel.
- Deliver and file legal documents with courts, government agencies, and other entities in compliance with Michigan’s rules and deadlines.
- Communicate with courts, clients, opposing counsel, witnesses, and experts to schedule meetings and appointments.
- Maintain client confidentiality and ensure adherence to professional conduct rules.
- Assist attorneys in preparing for meetings, hearings, and trial by organizing materials and client information.
- Enter timekeeping data and prepare billing reports for clients as necessary ensuring all timekeeping is accurate and up-to-date.
Job Requirements:
- High school diploma or equivalent (e.g., GED) required.
- Associate’s degree in Paralegal Studies, Legal Secretary Studies, or related field is a plus.
- A minimum of 2 years of experience working as a Legal Secretary, Paralegal, or in a similar role is preferred.
- Knowledge of Michigan court rules, legal procedures, and documentation requirements.
- Strong knowledge of office software such as Microsoft Office Suite (Word, Excel, PowerPoint), legal management software (such as Clio or LEAP), and document management systems.
- Strong typing skills. Ability to type 80 wpm minimum.
- Proficient in legal document drafting and filing procedures.
- Excellent communication skills, both written and verbal.
- Ability to manage multiple cases and deadlines simultaneously in a fast-paced environment.
- Attention to detail, strong organizational skills, and the ability to maintain confidentiality.
- Ability to work independently and collaboratively in a team-oriented environment.
Physical Requirements:
- Ability to sit or stand for extended periods of time.
- Ability to lift and carry legal files and documents up to 25 lbs.
