Summary
The Mail Specialist verifies and keeps records of incoming and outgoing shipments. They also will prepare items for shipment.
Duties and Responsibilities
- Adhere to all policies, Standard Operation Procedures and compliance/PHI requirements
- Meet established production standards
- Trained and certified on job tickets
- Trained and certified on material request form
- Trained and certified on Videk and MLT reports
- Trained and certified in Postal Training
- Trained and certified on product lines and work flows
- Trained on Monticello program to create all postal paperwork
- Trained on Tagit Pro to print all tray tags
- Trained and certified on industrial trucks
- Trained certified on wrapping machines
- Trained and certified on related inventory control
- Assist Shipping Clerks to prepare shipments according to specified ship methods, process mail on postage meter system, update shipping report with all job tickets, prepare bills of lading, etc.
- Communicate status of jobs to department manager
- Maintain all safety and OSHA standards
- Ensure QA standards are met
- Drive continuous improvement
- Keep area clean and clear of clutter
- Perform other duties as assigned
Qualifications & Requirements
- High School graduate, or completion of GED required
- A minimum of two years’ experience working with mail and postal requirements
- Well versed in the specifications of First Class, Presort First Class, and standard mail. Knowledge of computer shipping systems or basic software aptitude
- Experience with shipping companies such as FedEx, UPS, DHL, etc. Knowledge of USPS packaging and business mail entry requirements
- Forklift certified and able to drive other various material handling equipment
- Able to operate packing machinery
- Computer literacy with the ability to work with various file structures (pdfs, proficient in MS Excel reports) and managing data
- Must be able to work overtime
- Perform all work and activities with honesty and integrity
- Take personal responsibility for productivity, quality and timeliness of work
- Effectively communicate (and listen) clearly, professionally, politely and persuasively in all situations; respond well and in a reasonable, timely manner

Working Conditions
Must be able to perform the essential job duties. Work may be performed in an office, warehouse and/or manufacturing environment. Requires the ability to perform the following activities for the majority of the day: stand for extended periods of time (more than four hours per day), walk, bend, stoop, kneel, crouch or climb. In addition requires the ability to lift and/or push up to 45 pounds. May be exposed to noise and be required to wear hearing protection for the duration of the shift.
