Job Description
O’Neill Insurance is seeking a full-time Administrative Specialist to join our team! The Administrative Specialist is a critical role to the agency, and will provide a combination of greeting clients and support to our accounting and service teams, while also working with the Executive team on higher-level projects such as Event Coordination, HR, and Marketing.
This role requires a detail-oriented individual with excellent organizational, technology, and communication skills, capable of managing multiple tasks and priorities in a fast-paced environment. No insurance experience is needed. This position is 100% in-office. Salary dependent upon experience.

Responsibilities
• Provide administrative support to the service and sales team
• Greet clients that come into the office or call the main agency line (currently have direct lines to each team member)
• Provide support to the Executive Team by working closely with the Controller to assist in areas of accounting/finance, HR, Marketing, and Technology
• Assist with Accounting in the areas of Accounts Receivable and Accounts Payable
• Manage licensing of Agents and Insurance Carrier Licensing
• Oversee downloads from insurance companies and distribute electronic communications to appropriate team members
• Plan and coordinate agency events, including quarterly company meetings, holiday meetings, and client appreciation events, ensuring all details and logistics are handled accurately and timely
• Oversee office supplies and equipment, ensuring the office environment is well-maintained and functional
