What are the responsibilities and job description for the Administrative Assistant position at Oak Hill Management?
Overview: Oak Hill Management is currently seeking an individual to assist in the day-to-day operations of several commercial properties and retail centers in the North Carolina market. This role reports directly to the Commercial Property Manager.
This is a FULL-TIME, hourly position that is required to work out of our property management office.
Specific Duties and Responsibilities:
- Ability to effectively and efficiently communicate with tenants and vendors, both written and oral
- Display exemplary time management and follow-through skills
- Ability to work with staff in solving problems and ability to take direction and function as part of a team
- Send monthly invoices/account statements to tenants
- Strong ability to follow through with tasks
- Ability to generate work orders through our property management software (AppFolio)
- Respond to tenant requests/problems in a timely and courteous manner
- Follow-up with the tenants to ensure satisfactory resolution of issues
- Become proficient with AppFolio, Google Drive, and other company systems
- Assist with collection of information from existing tenants (i.e., service contracts, certificates of insurance, etc.)
- Assist in tenant upfit projects. Specifically, scheduling vendors and following up on quotes
- Maintain stock and organization of office supplies and materials, including office equipment
- Organize and maintain office clerical, filing and record keeping systems
- Assist with tenant move-ins/outs
- Other projects as assigned
Qualifications:
- Strong working knowledge of G-Suite systems
- Detail oriented
- Excellent people skills
- Ability to work on-site in an office setting
Job Type: Full-time
Pay: $18.00 - $22.00 per hour
Expected hours: 40 per week
