Title: School/Program Secretary- Oak Lawn-Hometown Middle School

Job Requirements

The School/Program Secretary helps to organize the day-to-day operations of the school. This position is highly visible and will involve greeting visitors to the building on a regular basis. Duties may include maintenance of confidential student records, direct contact with students, parents/guardians, and instructional staff at a school site. Frequent public contacts in person, by telephone, or email require the application of established policies and procedures, but questions are referred to higher-level authority when a procedure has not been established. This position will require a wide variety of clerical tasks utilizing technology.

Job Qualifications

  • High School Diploma
  • Previous office experience preferred
  • Strong interpersonal skills and friendly disposition
  • Excellent oral and written communications skills
  • Strong computer skills

Essential Functions & Responsibilities

To perform this job successfully, an individual must be able to perform each essential function satisfactorily. The requirements listed are representative of the knowledge, skill, ability, physical demands and working conditions required of this position.

  • Demonstrate support for the Mission, Vision, and Goals of the Oak Lawn-Hometown School District 123
  • Uphold the established Board of Education policies, regulations, and administrative procedures
  • May include record keeping, data-base management, document preparation, customer service, communication, and site support
  • Assist administrator and other staff in planning and preparing for meetings, inservices, conferences, and workshops
  • Assist in the development of office procedures
  • Apply knowledge of modern office methods, equipment, and practices: including letter and report writing, receptionist and telephone etiquette, and filing systems; correct English usage, spelling, grammar, and punctuation
  • Handle incoming and outgoing mail
  • Coordinate Lunchroom Supervisors’ daily schedule; keep accurate record of students receiving free lunch
  • Keep track of fees owed and send out quarterly fee reminders
  • Insure appropriate security and safety methods are employed within the office
  • Order supplies and equipment
  • Organize office workflow to meet deadlines
  • Ability to sit/stand for prolonged periods of time
  • Utilize time management techniques to organize and prioritize work
  • Regular attendance and/or physical presence at the job

Performance of this job will be evaluated by the designated administrator in accordance with the Board of Education’s policy on Evaluation of Professional Personnel.
