Summary of Purpose

SUMMARY OF PURPOSE : Provides supportand assists in all aspects of student enrollment processes. Performs clerical duties in counseling and enrollment services.

The employee is expected to work as a team player in a multi-cultural, diverse working environment.

This description is intended to indicate the types of duties and responsibilities requested of the employee assigned this title.

It is not intended to be an exhaustive list of all the duties and responsibilities that may be required :

  • Engage with students / visitors as the point of contact, ensuring a welcoming and informative experience.
  • Address incoming calls, walk-ins, and emails from students (prospective, current, former), other college departments, and the outside community.
  • Provide guidance from admission through the registration process, providing hands-on or virtual assistance as necessary.
  • Serve as student advocate; handle inquiries regarding student records, perform preliminary investigation of issues raised by students, faculty, and others in order to arrive at timely and accurate resolutions
  • Support the Counseling Department with clerical duties surrounding schedules and student appointments.
  • Process documents pertaining to student records, maintain and process records in accordance with college policy
  • Understand and utilize multiple programs / systems / software covering all areas of job functions e.g. SIS-Student Information System (Colleague), CRM Relationship Management (CRM), Document Management Systems, and any other software utilized by the college
  • Assist in college campaigns related to enrollment and retention.
  • Order supplies and equipment with appropriate approval.
  • Operate office equipment (e.g., photocopier, telephone, computer and any other equipment utilized by the College) and clean, maintain and arrange for service of equipment as necessary.
  • Trains and directs college student workers with appropriate approval.
  • Performs related tasks, as assigned.
  • Ability to work additional hours, as needed.

Knowledge and Skills Required

MINIMUM EDUCATION AND EXPERIENCE REQUIRED :

EDUCATION : Successful completion of a minimum of 24 college credit hours in Administrative Support Technology (AST), Business Information Systems, Computer Information Systems, or Business Administration (BUS 1100, BUS 2030, BUS 2530, MKT 2520, ACC 1800, ACC 1810, ACC 1820 and CIS 1050).

An Associate’s degree or higher in any discipline.

  • MESSA medical is offered to the Faculty and Public Safety employees
  • Western Michigan Health Insurance Pool (WMHIP) medical is offered to Classified, Exempt (Non-union), Maintenance, Operating Engineers, and Teamsters
  • There is a $2,000 prorated Medical Opt Out stipend with proof of other applicable medical coverage

Dental

Blue Cross Blue Shield of Michigan (BCBSM) plan provided by the College, no payroll deductions

Vision

Flexible Spending Accounts (FSAs)

Health Care, Limited Purpose, Dependent Care, and Adoption FSAs are available

Life Insurance

TheCollege provides $120,000 of coverage (portion is subject to taxation), no payroll deductions

Disability

70% of wages provided for Short-Term and Long-Term Disability

Retirement

  • College employees are part of the Michigan Public School Employees Retirement System (MPSERS) provided by the Michigan Office of Retirement Services (ORS)
  • The Exempt, Faculty, and Teamsters employee groups can elect the Optional Retirement Plan (ORP) provided by TIAA; opting out of MPSERS

Voluntary Retirement Accounts

Employees can open and contribute via payroll deduction into 403(b) and / or 457(b) voluntary retirement accounts

Voluntary Benefits

Employees can elect voluntary benefits of optional life insurance (for self, spouse, and / or children), cancer protection, pet insurance, legal & ID shield, long term and / or critical care during annual open enrollment in November

Tuition

  • OCC tuition waiver program for employees and their dependents
  • Employees may take Non-OCC classes using the tuition reimbursement program

Employee Assistance Program (EAP)

Employees have a free resource to assist with a wide-range of needs, including counseling sessions

Employee Group : Classified Part-Time

Benefit Effective Date : First of the month after date of hire

Part-time Classified employees are offered the opportunity to have medical, dental, vision at the full monthly premium; life insurance is also available at a nominal cost.

Participation requires that benefit costs be taken via payroll deduction.

Medical

  • There are 4 PPO Blue Cross Blue Shield of Michigan (BCBSM) medical plans within the Western Michigan Health Insurance Pool (WMHIP) that employees can choose from
  • Medical plans include prescription coverage, free in-network preventive services, and a Health Savings Account (HSA) with high deductible medical plans

Dental

Blue Cross Blue Shield of Michigan (BCBSM) plan that has free in-network preventive services including two annual cleanings

Vision

NVA (National Vision Administrators) plan that includes annual examinations with participating providers

Life Insurance

Employees can choose to have a life insurance policy of $10,000 or $20,000
