Job Summary: The Executive Assistant will provide comprehensive administrative and operational support to the Department of Learning and Assessment. A successful candidate will have strong experience in grant writing, managing online applications, and financial reporting. In this role, you will be responsible for managing the department’s daily operations, maintaining calendars, coordinating travel arrangements, and ensuring smooth communication across various functions.
Primary Responsibilities:
Federal Program Grants:
- Assist with the oversight, writing, and submission of Federal Grants (Title I, II, and IV).
- Input and track grant-related data as provided by internal departments.
- Collaborate with departments to ensure compliance with grant regulations and alignment of budgets.
Application Management:
- Provide support to end users on the employee evaluation system (PAETEP).
- Address and resolve support tickets via Fresh Services for PAETEP.
- Maintain user access, login credentials, and manage system updates.
- Demonstrate knowledge of the Pennsylvania teacher evaluation system.
General Administrative Support:
- Prepare and process a variety of correspondence, reports, agendas, minutes, purchase orders, and other administrative materials.
- Maintain the department calendar, organize meetings, and coordinate travel logistics.
- Order supplies and handle general office duties as required.
- Perform other duties as assigned by the Director of Learning and Assessment.
- Schedule and register attendees for professional development events or student programs in collaboration with universities and community partners.
- Arrange necessary transportation and accommodations for district-related events.
- Perform other duties as assigned by the Director of Learning and Assessment
Qualifications:
- High School diploma required; Associate’s or Bachelor’s degree preferred.
- Minimum of three years of relevant experience in a similar role.
- Proven experience supporting federal grant processes, particularly Title I, II, III, or IV.
- Proficiency in Google Suite applications (Docs, Sheets, Slides, etc.).
- Skilled in using office applications efficiently and with attention to detail.
- Experience managing end-user platforms and providing technical support.
- Excellent organizational and data entry skills, with the ability to generate clear, concise reports.
- Ability to handle sensitive information confidentially and professionally.
- Strong written and verbal communication skills.
- Ability to prioritize tasks, work under pressure, and meet multiple deadlines simultaneously.
- Prior experience working in an education or local government environment.
Terms of Employment:
* 12 months, 7 1/2 hours per day (8:00 am to 4:00 pm with 30 minute unpaid lunch).
* $25.23 after successful completion of a 90 day probationary period.
