Production Coordinator - In office required
Pay range: $60k-$70k
The Production Coordinator is responsible for supporting the production process for the marketing and creative teams including print and digital collateral, asset management, and production budgets. This role will support the VP of Creative with vendor relations, production timelines and tracking billing, shipping, and invoices for the creative marketing department and the larger marketing teams as it relates to creative services and design operations. They will help the in-house team manage multiple concurrent production projects while managing deadlines and administrative details.
Essential Job Functions
- The Production Coordinator will monitor production, ensure all deadlines are met and recommend adjustments to the production process, if needed.
- Supports the workflow and production of all marketing materials produced by the creative team.
- Scheduling and completing production assignments; establishing production priorities; monitoring progress; revising schedules; resolving problems; reporting results of the work produced on weekly and monthly production summaries.
- Proofreads all advertising to ensure content and spelling is correct.
- Assures that work produced conforms to the established standards as outlined in the Oakmont Senior Living, Ivy Living, Heartford Hospice and O& I Development Brand Standards.
- Works closely with all outside vendors to assure consistency, quality, and timeliness among all produced pieces.
- Meets production budget standards by controlling and minimizing expenses.
General Duties:
- Managing workflows of production throughout development, pre-press, and through completion.
- Adjusting and trafficking print ready files for production.
- Support and manage marketing collateral and promotional orders for 100 communities including shipping, tracking and delivery.
- Coordinating and managing production deadlines between our home office and community teams using our project management platforms.
- Managing and delivering final packaging artwork to vendors.
- Digital asset and printed collateral organization, distribution, and retrieval for customers, vendors and team members.
- Communicating issues and opportunities with cross-functional teams (Design, Marketing, Operations, and Community Sites) on issues related to schedules and milestone requirement adherence.
- Assist in comprehensive website updates to ensure imagery is current.
- Create graphic templates and provide design support as needed.
- Develop detailed production schedules and budgets for companywide collateral orders.
Qualifications:
- General knowledge of Digital and Offset print production through finishing.
- 2-4 years of hands-on experience in the role of Production Coordinator or Designer, or similar position preferably within a sales and marketing focused organization or agency.
- Expert understanding of digital file types, fonts, and resolution is a plus.
- Working knowledge of Adobe Creative Suite (Illustrator, Photoshop, InDesign) is preferred.
- Able to work independently and manage both individual and team projects.
- Excellent communication skills, strong interpersonal skills.
- Highly motivated self-starter with a positive attitude.

- BA/BS or relevant work experience
- High attention to detail and organization
- Ability to remain focused when handling multiple projects.
- Highly responsive and service-oriented attitude
- Proficiency in Microsoft Outlook, Office (Excel, Word, PowerPoint) and Google Docs and Sheets.
- Project management software and asset management knowledge.
- Ability to leverage knowledge and understanding of graphic design, printing, and production processes to facilitate effective communication between the creative team, onsite community teams, regional sales specialists, executive leadership and vendors.
- BA/BS or relevant work experience
- Must be at least eighteen (18) years of age.
- Must possess a high school diploma or the equivalent.
- Demonstrated ability to build and maintain positive working relationships at all levels across the company.
