Oakwood School seeks a part-time Admission Assistant, who will support the admission office. The primary role of the Admission Assistant revolves around data entry, clerical and event support, and campus tour facilitation. Another major function of the position revolves around technology – processing inquiries and applications, and supporting families who encounter tech issues around their application.
The Admission Assistant needs strong organizational skills and the ability to make adults and students feel comfortable and welcome, and an appreciation of the necessity for confidentiality in the admission process.
This is a part time position. We anticipate that the responsibilities will take about 20 hours per week for approximately 40 weeks per year (from Aug-May).
The work is hybrid. Some data entry can be done remotely, but the expectation is that the person will work onsite when needed to give tours and help with events.
The position start date is tentatively at the end of July, 2024
RESPONSIBILITIES:
- Respond to telephone and email inquiries regarding applications
- Process and download inquiries and applications
- Prepare and mail information for school admission on an on-going basis including weekly inquiry packets
- As supplementary information arrives (recommendation forms and partner organization applications) enter it into the computer records and the application file
- Welcome families who are coming for the interviews and tours when on campus
- Conduct warm and robust informational campus tours
- Assemble admission materials for fairs and school visits
- Track office supply and equipment needs (EC)
- Assist with the registration at evening/weekend admission events
- Registration name tag process (EC)
- Confirm parent conversations, Prospective Family Mornings, and all events by email
- Maintains applicant checklists as items are completed, and maintains attendance records for all admission events; notifies applicants of missing items
- Weekly update of All Applicant Tracking List
- Help with event EPRs, setup and tear down
- Other special duties and projects as assigned
- Three or more years of administrative/office support experience
- Detail oriented with excellent organizational skills
- Extensive knowledge of Microsoft Office Suite; database experience: Blackbaud preferred
- Ability to manage multiple responsibilities simultaneously and prioritize
- Excellent oral and written communication skills
- Exceptional people skills and phone etiquette
- Ability to work independently and as part of a team
- Sensitivity, discretion, and a sense of humor
- Knowledge of or experience in admissions and/or independent schools a plus
- Bachelor’s degree preferred
- Bilingual abilities (Spanish/English) preferred
Hours: Hourly position with approximately 20 hours per week, 40 weeks annually.
Expected pay range: $25-30 per hour
Work is hybrid: Part remote, part on-site as needed (to give tours and help with events as needed)
