We’re looking for a full-time, in-person Operations Manager to join our team and establish the organizational foundation that will drive our success.

What We’re Looking For in an Operations Manager
We need a professional who understands both the mechanics of running an e-commerce fashion brand and the hands-on demands of managing a physical workspace, supply chain, and team. The ideal candidate is:

• Detail-Oriented & Organized: You excel at juggling multiple priorities—logistics, inventory, personnel, timelines—without dropping the ball.
• Data-Driven: You leverage KPIs and analytics to guide decision-making, identify bottlenecks, and propose improvements.
• Communicative & Collaborative: You excel at building relationships with suppliers, contractors, warehouse staff, and internal team members.
• Hands-On & Adaptable: You’ll need to be on-site, available to troubleshoot day-to-day operations, manage fulfillment, and address immediate challenges that arise in a startup environment.
Core Responsibilities
1. Operations Management & SOP Development
• Physical Workspace & Production Oversight: Oversee local production sites, visiting our USA-based suppliers and manufacturers to ensure quality, adherence to timelines, and compliance with brand specifications.
• Project & Workflow Management: Establish clear project timelines, manage task assignments for on-site and remote teams, and track progress through tools such as Asana, ClickUp, or Monday.com.
• SOP Creation: Document and refine all operational processes—fulfillment, inventory control, returns management, and customer support protocols—so they’re clear, repeatable, and scalable.
2. Team Coordination & Vendor Management
• On-Site Team Management: Lead in-office staff, such as administrative personnel, warehouse workers, and any additional local hires, ensuring they have clear objectives and the support needed to excel.
• Vendor & Supplier Relations: Serve as the primary contact for domestic textile mills, cut-and-sew factories, shipping partners, and logistics firms. Negotiate contracts and ensure on-time deliveries.
3. Financial & Administrative Oversight
• Budget & Expense Management: Track expenses, forecast operational costs, and ensure we remain within or below budget targets.
• Contract & Payment Management: Manage relationships with service providers, handle vendor contracts, and ensure timely payments.
• Inventory Planning & Stock Management: Collaborate with suppliers and the production team to set reorder points, manage lead times, and avoid stockouts or overstock situations.
4. Marketing & Launch Coordination
• Cross-Functional Collaboration: Work closely with our marketing and creative teams to synchronize product launches, social media campaigns, influencer engagements, and PR initiatives.
• Content & Promotions Management: Ensure product photography, descriptions, and marketing materials are ready for each launch milestone.
• E-Commerce Integration: Partner with web developers to ensure all operational aspects (inventory management, shipping settings, CRM integrations) are accurately set up and consistently maintained.
5. KPIs, Analytics & Reporting
• Performance Tracking: Define and monitor weekly, monthly, and quarterly KPIs related to sales performance, conversion rates, customer acquisition costs, and inventory turnover.
• Operational Audits: Conduct regular audits of workflows, SOPs, and supply chain processes to identify inefficiencies and propose enhancements.
• Reporting: Deliver concise, data-driven updates to the CEO, highlighting successes, challenges, and recommended action items.
Qualifications & Experience
• E-commerce & Fashion Background: Previous operations or production management experience in the apparel or luxury sector is highly preferred. Candidates with proven track records in e-commerce and other retail environments will also be considered.
• Domestic Supply Chain Familiarity: Experience coordinating with US-based manufacturers, warehousing, and shipping/fulfillment centers.
• Strong Technical & Analytical Skills: Proficiency in using project management software, spreadsheet analysis, and basic accounting tools. Familiarity with platforms like Shopify (or similar) is advantageous.
• Leadership & Communication: A proactive leader who can inspire on-site teams, facilitate smooth collaboration across departments, and communicate effectively with external partners.
• Organized & Process-Oriented: Demonstrated ability to build SOPs, optimize workflows, and maintain meticulous records.
• Adaptable & Resilient: Comfortable with the changing nature of a startup, and eager to help define systems and processes from the ground up.
