JOB SUMMARY:

This person is responsible for providing a welcoming and pleasant experience for each patient that walks in the door. This individual will have a great attitude and be ready to greet and help each visitor. The number one priority for our optical assistant is to provide top notch customer service and facilitate the patient flow through the optical shop. This position is fast paced and you will have the opportunity to consistently be accomplishing different tasks within our Optical & Aesthetics department so every day will be different than the one before. You will have the opportunity to work with people and for a company that has longevity in the community with a focus on patient care and employee engagement. • Previous relevant experience in optical environment and/or medical office is preferred.
• High School graduation or equal Certification required.
• The Company to provide training and testing in job specific areas to aid in patient questions.

ESSENTIAL SKILLS AND ABILITIES:

• Arrives on time, ready, willing and able to work each and every day scheduled.
• Wears daily and maintains the approved Ocala Eye Optical uniform, which includes an approved professional attire, a dress pair of black slacks or a black skirt, dress footwear and the name tag provided.
• Customer service takes precedence over any other function: when in doubt, satisfy the patient first and ask permission later.
• Maintains professional, courteous and patient focused attitude and approach to patients and fellow employees at all times.
• Cooperates with all staff members, creating a team environment, by cooperating in projects and sharing the workload evenly.
• Greet patients in a timely manner and assesses the patient’s needs.
• Obtains patients name at time of check in and updates all patient information upon arrival.
• Use of practice management system, EHR , EMR and document scanning system, optical management system, and internal messaging system.
• Answer phone and determine what the caller’s needs and wants are and successfully transfer or handle the call.
• Uses Company approved encounter form to enter charges, codes/modifiers, and monies.
• Uses practice management system to update the referral individual to obtain information to get authorization needed prior to next office visit.
• Collects and balances individual monies daily for optical management system.
• Various clerical duties such as: filing, reporting to supervisor supplies needed, shipping packages, etc.
• Runs day sheet and payment report daily on all users and all locations to balance monies.
• Collects and distribute mail and messages.
• Empties daily bin and processes contents.
• Check on patients orders and call patients when eye wear or contact lenses are ready.
• Orders, receives, and verifies contact lenses. Calls patient once lenses are verified.
• Attends meetings and training courses during or after business hours as necessary.
• Housekeeping responsibilities: dusting, keeping work area tidy, and restocking accessories as needed.
• Willingly complies with all Company and Department policies and procedures, as outlined in the Ocala Eye Employee Handbook ,other memorandum or appropriate management communications.
• Assists Optician/Opticians on duty with eyeglass repairs, patient notifications, and inventory control.
• Assists all Optical staff as needed.

Miscellaneous Duties

• Assists all Doctors, Optical and Clinic staff as needed.
• Filing, reporting to supervisor supplies needed, shipping packages, etc.
• Check on patients’ orders and call patients when eye wear or contact lenses are ready.
• Empties daily bin and processes contents.
• Dusting, cleaning frames and Optical area tidy

Physical Demands:

Equal amounts of prolonged walking, standing, sitting, are required to effectively accomplish the tasks. While performing the duties of this job, the employee is regularly required to talk or hear. The employee must occasionally lift and/or move up to 50 pounds. Specific vision abilities required by this job include close vision, intermediate vision, distance vision, color vision, depth perception, and ability to adjust focus. These skills can be supplemented through the use of contact lenses, refractive surgery or spectacles.
