Overview
We are seeking a dedicated and organized Receptionist/Administrative Assistant to join our team. This role is essential in providing exceptional support to our office operations and ensuring a welcoming environment for clients and visitors. The ideal candidate will possess strong communication skills, excellent time management abilities, and a proactive approach to administrative tasks.

Responsibilities

  • Greet and assist clients and visitors in a professional manner, ensuring a positive first impression.
  • Manage incoming calls using phone systems, directing calls to appropriate personnel and taking messages as necessary.
  • Perform clerical duties including filing, data entry, and maintaining organized office records.
  • Utilize for basic accounting tasks such as invoicing and tracking payments.
  • Schedule appointments and manage calendars for staff members, ensuring efficient time management.
  • Assist with administrative tasks such as preparing reports, correspondence, and bids.
  • Maintain office supplies inventory and order supplies as needed to ensure smooth operations.
  • Provide support as a personal assistant to management when required.

Requirements

  • Proven experience as a receptionist or in an administrative role is preferred.
  • Strong computer literacy with proficiency in Microsoft Office Suite and ability to learn new software programs.
  • Excellent phone etiquette with the ability to handle multiple calls professionally.
  • Time management skills with the ability to prioritize tasks effectively in a fast-paced environment.
  • Strong organizational skills with attention to detail.
  • Ability to work independently while also being an effective team player.
  • A positive attitude and willingness to learn new skills.
