Over the last 25 years, our multidisciplinary staff of licensed mental health therapists, LCSW’s, MFT’s, ASW’s, AMFT’s, LPCC, OT’s and Psychiatric Mental Health Nurse Practitioners have served more than 10,000 clients. At OTTP we welcome collaborating, autonomy, and exploration of ideas to meet the ever-evolving needs of our clients. Our services include early intervention, school-based, workforce development, and after-care services. Clients at OTTP are between the ages 3 to 24. Our interventions include assessment, therapeutic individual intervention, therapeutic groups, psychotherapy, family therapy, employment, and case management. Therapeutic activities are hands-on, engaging, and meaningful to our clients. This is why we say we are “healing through doing.” Our mission is to provide mental health services to empower the youth that we serve to achieve their emotional, educational, vocational and personal goals.
Summary
OTTP-SF, a program under Special Services for Groups, is looking for an EMR Administrative Assistant to support the EMR-specific duties on programs contracted with SF Department of Public Health. Under the supervision of the Database Administrator, the EMR Administrative Assistant be responsible for administrative and operational aspects of the Epic Electronic Medical Record System for the OTTP program team as well as for assisting the admin team in various projects, such as general reception duties as well as office management duties, including but not limited to stocking and supplying the office, ordering supplies, maintaining office cleanliness etc.
Essential Functions
● Oversee clerk duties within the electronic medical record system, including but not limited to: managing the appointment desk, updating client registration, scanning and labeling documents within client charts
● Monitor work queues within the electronic medical record system and communicate with relevant managers
● Contact clients to complete client registration materials, as needed
● Monitor intake calendar and communicate with providers about changes to calendar
● Support with tracking
● Monitor and update data (openings, closings, PURQC audit dates, SAR dates, CFT dates) in tracking myk systems to support clinical care
● Serve as point person for supporting clinicians with appointment and registration related EMR questions and needs
● As needed, support with organizing and maintaining office space to meet compliance, safety regulations, and agency standards
● General reception duties
● Greet clients/support staff in maintaining a safe and friendly environment for clients
● Greet visitors or callers and handle their inquiries or direct them to the appropriate persons according to their needs
● Answer telephones and respond to agency emails, give information to callers, take messages, or transfer calls to appropriate individuals.
● Filing/Faxing/Copying as needed or assigned
● Encourage involvement in agency advocacy efforts to end racial and social injustice
● Work closely with the Administrative Team to ensure Agency operations run smoothly
● Other duties as assigned
Minimum Qualifications - Knowledge, Skills and Abilities Required
● High school degree or equivalent required with minimum four years relevant experience, Associates/Bachelors Degree preferred
● Very strong organization skills
● Excellent attention to detail
● Experience using Electronic Medical Records systems
● Demonstrate aptitude and interest in office managerial work and non-profit work
● Strong computer skills, such as Excel, Word, Windows/Mac OS, Adobe Acrobat, Google Workspace, etc.
● Ability to take initiative and follow through on directions with minimal supervision
● Excellent communication skills in verbal and written form
● Experience in social services in the non-profit sector preferred
● Verification of Employment and background check.
● TB clearance is required every four years.
● Regular attendance is required

Non-Essential Qualifications-Knowledge, Skills and Abilities: Bilingual Spanish preferred but not required
Supervisory Responsibilities: No supervisory duties at the moment.
Environmental Conditions: (Working Conditions): This position entails working in the OTTP office.
Physical Requirements: This position entails sitting, standing, and walking.
