What are the responsibilities and job description for the Coordinator of Day Program Services position at Occupational Training Center?
- In conjunction with the Day Program Supervisors, recruits, interviews, hires and evaluates program staff in accordance with OTC Services, Medicaid and Division of Developmental Disabilities (DDD) guidelines.
- Oversees the staffing schedules at all Centers and completes staff timecards.
- Approves/makes recommendations regarding employee personnel actions. Reviews and edits all disciplinary feedback and completes feedback when necessary in conjunction with the Supervisors.
- Provides ongoing supervision of Supervisors and staff members (DSPs) and oversees daily operations of all Day Programs to ensure that the programming meets the standards and expectations of OTC and the State and Federal mandated requirements.
- Act as the agency liaison with governing entities, guardians and Support Coordination. Coordinates services for the admission, discharge and progress of participants.
- Coordinates daily operations of all Community Access Centers. Oversees the activities in all Day Programs to ensure the daily programming is age appropriate, follows the HCBS rules and maximize independence and participant choice.
- Hires and trains new Supervisors, conducts regular supervisor and staff meetings to discuss program related issues. Schedules, oversees and provides (as necessary) staff training. Provides in-service training to staff members and/or seeks vendors/professionals to provide necessary training.
- Develops and implements new trainings and systems as necessary to maintain quality programming. Amends program goals and objectives to meet the changing needs of program participants.
- Ensures all annual and other documentation, including the Employee Handbook and Participant Manual, is accurate and update when new information is obtained or changes are needed.
- Assists program Supervisors in the resolution of any issue(s) that may arise in the workplace.
- Ensures safety compliance is maintained in all program areas. Ensures timely submission and correction of all maintenance issues. Completes routine walk-thru inspections to ensure fixtures/furnishings are sufficient and in good condition. Ensures no safety issues exists and monthly safety drills are being conducted accurately.
- Communicates regularly with Support Coordinators, guardians and families of the participants both proactively and to manage any issues that arise.
- Assumes the supervisory responsibility of a specific center in the event that a supervisor is absent or the position is vacant.
- Attends and actively participates in participant ISP meetings, team meetings and other important events such as trainings, conferences, job fairs and day program related meetings.
- Develops and implements Safety and Quality Improvement programs. Record and evaluate program data related to internal and community based programming. Develop effective monitoring systems to evaluate program data for outcomes.
- Ensures all areas of the DDD Monitoring Tool are met using standardized tracking systems across all Day Programs. Performs routine inspections of all records and sites and develop and maintain systems for internal auditing and self-inspections of all Day Programs.
- Oversees Therap documentation to ensure that all eligible Dayhab and Transportation Medicaid, Fee for Service, units are billable and that all documentation is completed and appropriate.
- Tracks and records program expenditures, procurement of center equipment and vehicles. Purchase and approve the purchase of equipment and program supplies.
- Monitors the vehicle tracking system to ensure that all vehicles are being checked regularly and all driving rules are being followed.
- Advertises and performs public bids when necessary for vehicles, equipment and professional services. Develops and writes proposals/bids and other written materials.
- Ensures immediate access to emergency services in the case of life threatening emergencies in full compliance with Danielle’s Law.
- Ensures all Unusual Incidents are reported according to required timelines as needed. Reviews and edits as needed, all UIRs and GER documentation.
- Serves as an integral member of the OTC’s Safety Committee.
- Other duties as assigned. May include SPA/CPR Instructor, Internal Investigator, and Administrator for College of Direct Support.
