What are the responsibilities and job description for the SWIM TEAM ADMINISTRATIVE ASSISTANT position at Ocean County Ymca Inc?
Swim Team Administrative Assistant who is interested in assisting with all operational aspects of the OCYMCA Swim Team Program. Our swim team consists of over 200 swimmers from competitive beginners to nationally-ranked. The Administrative Assistant works directly with the coaching staff and swim team families to ensure the successful and organized operation of the swim team program.
Essential Functions:
- Report directly to the Head Coach and Head Age Group Coach.
- Acts as a bridge between YMCA staff and swim team families in matters of membership and billing.
- Orders program supplies from team approved vendors.
- Communicates with hotels, restaurants, and transportation companies for the planning of team travel events.
- Collaborates with parent volunteers in the coordination and operation of swim team events.
- Submits check requests and purchase orders.
- Assists the coaching staff in the completion and submission of coach registrations and certifications.
- Keeps team website organized and updated.
- Assists parents with the navigation and usage of the team website and YMCA platforms.
- Sends out necessary information via email at the team level.
- Collaborates with the Head Coach and Head Age Group Coach on program coordination and scheduling.
- Must be proficient in Microsoft Word and Excel
- Exceptional organizational skills
- Must be professional in dealing with the public, swim team parents, staff, and various vendors.
- Knowledge of office etiquette, privacy, and tactful communication skills
- Positive attitude, team player, and previous experience working with diverse populations.
