Ocean Lakes Community Association, Inc. is a self-managed homeowner’s association for a planned community with 2378 homes. The management office manages the day-to-day operations of the association and enforces the rules of the governing documents for the properties and residents. We are currently seeking a detail-oriented individual who is able to communicate effectively with our team members and residents.
This is a full-time position.
Our winter hours are Monday through Friday 8am – 4pm, and summer hours begin the first full week of May through Labor Day and are Monday through Thursday 8am – 6pm.
A strong candidate must:
· Be able to pass a background check
· Be able to work 40 hours per week
· 5 years of community association management experience
· Experience with Enumerate (AKA TOPS ONE)
· Be able to work overtime on the first, third and last Wednesday of each month to attend meetings
· Have bookkeeping experience; keeping detailed records of an organization's accounts
· Working knowledge of Excel and Microsoft suite applications
· Self-motivated, detail oriented and reliable.
· Retain the highest level of personal and professional integrity and ethics
· Strong positive customer service skills
· Confident
· Be well organized and pay attention to detail
· Ability to handle difficult situations tactfully
· Objective, doesn’t take criticism personally
· Have reliable transportation
· Have a valid driver’s license
Responsibilities include but are not limited to:
· Manage and supervise office staff consisting of six employees
· Seek RFPs and manage contracts
· Prepare monthly board packages for board members
· Attend monthly board meetings and monthly (2) ACC meetings
· Manage Ocean Lakes website
· Manager key fob system for tennis courts
· Accounts payable
· Accounts receivable
· Bank reconciliations; using accounting software to reconcile accounts & bank deposits
· GL accounting
· Manage Homewise Docs, and release disclosure packages for selling properties.
· Payroll
· Data entry and update information in Enumerate, and track information
· Manage financial reports
· Create and managing budgets
· Assessment invoice mailing twice per year and annual meeting mailing
· Plan and carry out annual meeting of members
· Data entry and update information in Enumerate, and track information
· Research and respond to inquiries in-person, by phone and email
· Work up accounts and follow legal collection procedures
· Provide outside auditors with assistance in collecting data for annual audits
· Complete data and final review of resale certificates for properties that have sold
· Scanning documents to paperless storage
· Attend annual CA Day conference
· CAI continuing education with aid
· Carry out all decisions of the board of directors

Salary : $55,000 - $65,000
