Job Description:
The Store Support Service Specialist role at OSJL serves as the primary liaison between OSJL and its stores, shopping center tenants, and other business partners, and is responsible for managing repair work orders and maintenance projects from inception to completion. The Store Support Service Specialist also assists the Store Maintenance Service Supervisor with data collection, retrieval, and analysis.
Key Responsibilities:
- Assign internal resources or qualified vendors to address store facility issues and oversee their work to completion.
- Monitor the performance of technicians and vendors against service level agreements for quality and cost. Ensure vendors are aware of work orders and follow up on arrival time and completion.
- Utilize OSJ’s Integrated Workplace Management System (“IWMS”) to access lease agreements and project records for optimal issue resolution.
- Maintain accurate vendor records and contact information.
- Create, process, and close out work orders for routine and emergency repairs and special projects.
- Partner with store personnel, shopping center tenants, property managers, and internal teams to resolve emergencies efficiently, escalating as needed.
- Regularly communicate with internal and external partners regarding project updates and work order status, including, but not limited to, weekly status and work order aging.
- Assist with data collection, retrieval and analysis for the Store Maintenance Service Supervisor.
- Maintain asset documentation, including, but not limited to, condition ratings and photos.
- Qualifications:
- An Associate's or Bachelor’s degree in a related field is preferred.
- 2 or more years of professional experience in a call center environment for property management, real estate, retail or related industry is preferred.
- Proficient in Microsoft Office and Google platform (i.e. Sites, Slides, Drive, Docs, Sheets).
- Experience in Manhattan or other IWMS is preferred.
Work Environment:
- Works primarily in a climate controlled environment with minimal safety and health hazard
potential. - Works in an office environment sitting at a desk, table, or computer workstation for extended periods of time. Frequently uses near vision for reading and computer tasks.
