Job Description:
The Benefits and Leave Coordinator at OSJL plays a critical role in ensuring compliant and efficient leave administration for OSJL associates. This role requires a strong understanding of federal laws such as the Family and Medical Leave Act (“FMLA”) and the Americans with Disabilities Act (“ADA”), as well as state-specific leave laws and disability plans. This role is responsible for processing complex leave requests and accommodations and working closely with OSJL’s Legal and Risk Management teams to guarantee adherence to all relevant policies. This role provides exceptional customer service to associates and acts as the point of contact for any questions or concerns regarding leave.
Key Responsibilities:
- Maintain in-depth knowledge of all applicable federal and state leave and accommodation laws, including, but not limited to, the FMLA andADA, and ensure compliance with the same.
- Advise associates and leaders on leave laws and their intersection with benefits, including, but not limited to, paid time off, workers' compensation, disability, and return-to-work processes.
- Process complex leave requests and facilitate accommodations in accordance with Company policies and applicable law.
- Manage interactive discussions with associates and physicians to determine appropriate leave restrictions and accommodations under the ADA.
- Monitor leave durations, denials, and benefit enrollments for associates on leave, ensuring compliance with Company policies.
- Draft and track leave-related communications, including, but not limited to, accommodation letters, disclosures, and evaluations, and handle terminations for non-compliance.
- Draft or recommend revisions to Company leave policies to reflect legal updates.
- Maintain accurate leave and accommodation records in accordance with legal requirements and best practices.
- Uphold the confidentiality of associates’ medical information.
- Collaborate with the Benefits team to support open enrollment, family status changes, and other departmental functions.
Qualifications:
- Associate’s degree in business administration, human resources, or a discipline demonstrating analytical and research capabilities is required. Bachelor’s degree is preferred.
- Experience with both in-house and outsourced leave administration is preferred.
- Proficiency in English is required; bilingual in Spanish would be a plus.
- Proficient in Microsoft Office and Google platform (i.e. Sites, Slides, Drive, Docs, Sheets).
Work Environment:
- Works primarily in a climate controlled environment with minimal safety and health hazard
potential. - Works in an office environment remaining stationary at a desk, table, or computer workstation for extended periods of time. Frequently uses near vision for reading and computer tasks.
- Hybrid (minimum 3 days in office): Work may be completed outside of the Company locations. The role is responsible for setting up a professional and ergonomically safe work environment and to be available during working hours. While working remotely, the role will be required to have reliable internet connection.
