Position: Full Time
POSITION SCOPE:
Provide leadership, employee supervision, support and vision for the non‐emergency transportation of patients/clients to and from hospitals, convalescent facilities, dialysis centers, rehabilitation centers, medical offices and their private residences in a safe, secure and professional manner. BASIC FUNCTION: Responsible for scheduling, assigning and communicating work order to Drivers to ensure that operations and projects are completed in a professional, timely, safe and cost effective manner.
QUALIFICATIONS: Dispatching experience with communication, organization, and time management skills preferred. Proven ability to operate company phone lines in a professional and courteous manner, and to operate office (computer, fax, copier, phone lines) and field equipment (loader) conducive to performing job responsibilities, conforming to company personnel and safety procedures and policies. Physical and mechanical stamina to complete the following frequency of tasks: a) Operating company vehicles as needed. b) Lift up to 75 lbs. Utilizing safe and proper lifting techniques and equipment. c) Ability to sit, stand and walk 8-12 hours a day. d) Ability to reach and bend at the knees 20-40 times a day utilizing proper ergonomic principles (lifting, stretching, reaching, kneeling, pivoting feet, etc.)
e) Work well under pressure meeting client/project schedules and budget guidelines, 8-10 hrs. a day, and be flexible and available to work upon request. f) Endure climatic temperature extremes, 8-10 hrs. a day. g) Operate properly, safely and professionally office equipment, 8-10 hrs. a day.
Dispatcher must understand the importance of wearing PPE as required and set forth in the company’s injury prevention program.
CONDITION OF EMPLOYMENT: Employment must meet the above qualifications, task frequency and PPE requirements. Approval of pre-employment reference check, skill assessment testing, MVR (motor vehicle report), and other requirements as per Department of Transportation regulations, and approval of post-offer drug/alcohol and medical evaluations are conditions of employment.
ADDITIONAL DUTIES:
1. Must be available to work or provide on‐call service when needed in a 24/7 environment.
2. Provide management expertise, support and supervision transporting patients and clients utilizing company vehicles in a safe and professional manner.
3. Effective communications with drivers and dispatch and provide updates and reports for upper management.
4. Maintain a professional, positive image and attitude in regards to clients, management and subordinates.
5. Supervise and enforce completion of daily vehicle pre‐trip and post trip inspections, and maintain vehicle cleanliness.
6. Must be able to understand and operate GPS devices, 2 way radios, and cell phones, and windows based computer software. (Excel, Word, Outlook).
7. Must have basic knowledge of accounting systems, computer networks, PC hardware, and the internet.
8. Perform all duties as assigned by the President.
PREREQUISITE KNOWLEDGE, SKILLS, AND EDUCATION:
1. Must comprehend, and comply with, the Employee Handbook, Driver Manual, Dispatch Manual, and
Employee Training outline.
2. Experience in management in the Non‐Emergency Medical Transportation field is desired
3. Must be able to evaluate, train and motivate drivers and dispatch personnel.
4. Must be able to instruct, train and “step‐in” if necessary, to fulfill driver and dispatch duties.
5. Must possess a valid Driver’s license, and provide a current 10‐year DMV printout.
6. No more than 1 moving violation or 1 “at fault” accident within the past 3 years.
7. Pass a mandatory pre‐employment drug and alcohol screening.
8. Must pass a mandatory criminal background check.
9. Must Pass CPR and First Aid certification – provided by Company
RESPONSIBILITIES:
1. Provide telephone and personal service to client contractors and customers conforming to safety and professional (punctuality, reliability, language, personal hygiene, clothing, etc.) standards. Promote and apply company and apply company work ethics, quality and personnel/safety policies.
2. Monitor and screen client, employee and sales calls in a professional and friendly manner. Complete messages in an accurate and detailed manner by utilizing reflective listening skills and addressing service, employee and sales concerns through the appropriate channels.
3. Schedule or assist in assigning work orders to drivers, meeting client contractor satisfaction and quality of product.
4. Provide accounting (accounts receivable and account payable), clerical, and administrative support to office personnel.
5. Maintaining written documentation to include safety and vehicles inspection records to ensure that all records are accurate and legally sound.
6. Completing paperwork (accounts receivable and payable; vehicle inspections’ work and maintenance orders, etc.) in a timely and accurate manner, and that it complies with company and legal standards.
7. Proficient technical, mechanical and clerical ability required to perform job responsibilities.
8. Completing purchase orders and ordering material and supply needs to ensure that all projects are completed in a timely, safe, and profitable manner.
9. Direct any federal or state inquiries (OSHA, LB 757, Department of Labor, etc.) to President for consultation and direction.
10. Attend company sponsored training events, including certification, licensing and/ or education requirements targeted for continuing growth and development
11. Personally adhere to, and be an example by adhering to the company’s Injury Prevention Program.
Become proficient in all areas of customer service and safety to include, accident injury reporting and documentation, defensive driving, vehicle/equipment maintenance, technical/computer/phone operation, lockout tagout, Hazcom (SDS), emergency exit, personal protective equipment, lifting, confined space, tool safety….
12. Attend safety training talks and assist management in promoting awareness, respect and teamwork by serving on the committee on a rotating basis, in a non-adversarial, cooperative effort to promote safety at each worksite.
13. Attend required meetings with management, dispatching, driver personnel for the purpose of recapping workplace personnel/safety policies and procedures.
14. Responsible for vehicles, equipment, tools and supplies as follows:
a) Be responsible for assigned company tools and equipment, and maintain appropriate inventory according to company policy and procedures. b) Inspecting and verifying that driver personnel have maintained company vehicles, equipment and tools as per required paperwork inspections and company policy. c) Coordinating with driver personnel required cleaning and maintenance of all company vehicles, equipment and tools according to company instruction, approval and policy to ensure that all vehicles, equipment and tools are in safe working condition. d) Acquire the supplies needed through the President to perform your job promptly, accurately, safely and professional.
15. Report any safety concerns or potential liabilities (unresolved project, personnel issues to include disciplinary concerns, maintenance, supplies, client contractor/customer, OSHA, LB 757 inspections…) to
President for consultation and direction.
16. Report to President any deviation from scheduling/budgeting guidelines or personnel concerns that may become potential liabilities.
17. Respect the authority of President.
18. Perform other duties as assigned by President.
