What are the responsibilities and job description for the Administrative Assistant-Clerk of Courts position at Oconto County?
SUMMARY
Reports to the Clerk of Courts and is deputized by the Clerk of Courts. Responsible for performing a variety of general clerical tasks. Maintains filing systems to include retention and maintenance of court records. Answers phones and opens/sorts mail. Able to use own judgement in choosing priority of routine assignments to be accomplished as long as established procedures and policies are adhered to and followed.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following, but are not limited to:
Acts as main receptionist by providing over-the-counter assistance to public, attorneys, media and notarizing papers. Assist customers with filing documents, obtaining copies, certifying documents and notarizing. Receives correspondence and determines how it should be handled. Answers incoming calls and directs to appropriate party.
Must have a general knowledge of all case types to assist public as to general court process and procedures.
Receipts filing fees for civil, harassment, divorce, paternity and small claim actions, foreign judgements, transcripts, hospital liens, construction liens, garnishments. Receipts money for forfeitures, traffic fines, cash bonds on criminal cases, deposits for sheriff’s sales, copy fees, record searches, and satisfaction fees, docketing fees and certified copies.
Prepare court materials for bond hearings and sentencings.
Files, prepares letters, and creates forms as needed.
Complete record searches, requests for copies from public, other offices and agencies upon request.
Retrieves daily mail from mailroom. Open and distribute mail to appropriate individual within the office. Daily delivers out-going mail to mailroom.
Updates court activity and scans court records in CCAP program, which requires State security clearance.
Maintains various spreadsheets and group files.
Orders office supplies as needed.
Transport daily deposit to the Oconto County Treasurer’s Office.
Required to fill in and take on additional duties in the absence of any other office personnel. Capable of being cross-trained in other positions to fill in for vacations.
Provides additional help to Register in Probate, Judicial Assistant, and Court Commissioner’s Office if needed to fill-in for vacation or projects.
QUALIFICATIONS
High school diploma or general education degree (GED), and at least 2 years’ experience in any office setting. Courses in typing, filing, word processor/computer, organizational skills, calculator, or general business are necessary to performing the duties of this position.
