Job Description : Recruitment & Marketing Administrator (RMA)
Reports to : Chief Marketing Officer (CMO)
JOB SUMMARY :
Manage the recruitment of employees for Odyssey, assist when needed to ensure compliance for employment, develop Odyssey’s social media presence and assist with marketing projects as directed by the CMO. Job duties include, but, are not limited to : 1) establish potential employee listings, 2) managing tracking of potential hires, 3) develop and maintain Odyssey’s social media presence regarding job opportunities & other marketing efforts for growth of the company 4) develop resources and tools to effectively establish and manage external recruitment contacts, 5) complete Steps of the New Hire Process within appropriate time frames from notification, 6) offer employment compensation by discussing with ULM for guidance, 7) ensure coverage of responsibilities when on vacation or unavailable, 11) maintain job postings and create content for marketing / social media and 12) work effectively with all levels of Lower, Middle, and Upper Level Management.
Essential Functions :
- Responsible for increasing the potential candidate resource pool by : 1) acquiring discipline-specific listings for all states as directed by CMO, 2) contacting schools, colleges, and universities to inquire into lists of students graduating from their respective programs, 3) Making inquiries into and attending job fairs as directed, 4) obtaining contact information for licensed therapists / assists by performing reverse searches and / or navigating purchased listings 5)utilizing social media for increased presence and visibility by potential candidates.
- Responsible for actively recruiting for all open positions by : 1) making cold calls, 2) creating and sending mailers / flyers, 3) utilizing Odyssey Rehabilitation’s social media, 4) updating internal and external job postings, 5) contacting current employees for referrals, and 6) actively participating in regional conference call / ULM meetings.
- Provide periodic updates regarding recruitment efforts to Middle and Upper-Level Management. This includes, but is not limited to : 1) discussing recruitment efforts weekly with Regionals, referencing tracking tools as needed, 2) providing email correspondence to new hires with carbon copies (cc’s) to Middle and Upper-Level Management, and 3) providing electronic copies of the open position recruitment spreadsheet to appropriate MLM and ULM regarding recruitment efforts at least weekly 4) sending out the Weekly Update email accordingly.
- By “close of business” on the date of notification of an open / new position, RMA must notify all current employees by sending email notifications. The next day is appropriate when notification of open / new position is sent in the afternoon.
- Within 24 hours of notification of an open / new position, RMA must contact the Clinical Managers in the Region where the position is open and review / research all “archived” contact information (resumes, trackers, etc.) for employees that were interested in but not hired by Odyssey.
- RMA must update Odyssey Rehabilitation’s Website and social media, to publicize the open or closed position externally.
- Consult with ULM regarding recommendations to enhance and more effectively perform job duties, prior to rolling out any new initiatives.
- Schedule interviews with Middle / Upper-Level Management.
- Directly responsible for rate negotiations of all prn, part-time, and full-time employees, by utilizing the wage spreadsheet and contacting ULM when a potential hire requests compensation outside wage sheet parameters. Research national averages yearly, reporting findings to ULM, in order to maintain competitiveness in offers. Updates the wage spreadsheet routinely.
- RMA will contact potential employee with a formal offer within 24 hours of being notified by ULM or MLM that they would like to hire the individual.
- Responsible for assisting with the development and implementation of Recruitment Policies and Procedures, effectively outlining all processes. Ensures that policies, procedures, and processes are kept current.
- RMA will be responsible for writing and communicating all Offer / Change letters for current and new employees.
- RMA will be available to assist with social media development. This will include, but not limited to; creating content related to recruitment on all social media platforms, assisting with content development for marketing / growth, increasing viewership of social media platforms and working with website developers to create content.
- RMA will be available to assist CMO with projects related to marketing which could include development of marketing pieces for the sales department, content for social media, research on increased recruitment efforts, etc.
