GENERAL DESCRIPTION

The Constituent Affairs Division (CAD) is the Office of the Attorney General’s (OAG) interface with the public. The Conference Manager’s work will involve consultative work through planning and coordinating conferences, meetings and seminars sponsored by the Office of the Attorney General.

ESSENTIAL POSITION FUNCTIONS

  • Oversees and performs event planning and coordination activities of OAG-sponsored programs, including conferences, continuing legal educational training, meetings, and seminars; develops and facilitates local, regional and/or state-level OAG-sponsored events as assigned.
    Identifies facilities for conferences, continuing legal educational training, meetings, and seminars; manages logistics to include lodging, meals, audio-visual requirements and travel arrangements; works closely with various organizations and entities to ensure accommodations meet event requirements; reviews and evaluates conference sites and hotels for contractual compliance. Uses personal vehicle for business-related travel.
  • Works closely with sponsoring OAG division, graphics, outreach sections all appropriate stakeholders in the preparation of all event materials including programs, notebooks, evaluations, speaker biographies and handouts; ensures resources are published in an electronic format or available online, if appropriate.
  • Supervises conference assistant by approving leave requests, providing performance feedback, overseeing daily work assignments, and maintaining a current performance evaluation, as well as making personnel action recommendations.
  • Oversees conference budget, including receipt of registration fees and processing invoices for payment to vendors. As necessary, works directly with OAG purchasing section on invitation for bids from meeting facilities by providing bid specifications and purchase requisitions. Works directly with general counsel division on the contracting process for speakers who present at OAG events.
  • Oversees the continuing education units (CEU) offered at conferences by maintaining approved educator status with the appropriate licensing agency, determining credit hours, reporting credit hours, and relaying this information to the attendees. May print certificates with CEU information for attendees.
  • Administers all activities related to the OAG’s continuing legal education program, including selecting, scheduling, and internally advertising CLE presentations; maintaining all OAG CLE-related records, including OAG attendance records to CLE-accredited presentations and the OAG intranet’s CLE webpages; reviewing all internal and external OAG presentations intended for CLE credit to determine the appropriateness of their content for CLE accreditation; submitting internal and external OAG presentations to the accrediting entity for CLE accreditation as appropriate; reviewing invoices for CLE accreditation from the accrediting entity and submitting such invoices to the Accounting Division for payment; working with internal stakeholders to ensure CLE-related invoices are processed and paid correctly; overseeing access to online CLE resources available to OAG employees; working with outside vendors to provide CLE offerings, including LexisNexis and Westlaw; and overseeing the CLE budget.
  • Coordinates and communicates among agency divisions, other government agencies, civic/nonprofit groups and all appropriate stakeholders in furthering the interests of the OAG and promoting its sponsored events.

Qualifications


MINIMUM QUALIFICATIONS

  • Education: Graduation from high school or equivalent
  • Education: Bachelor's degree from an accredited college or university; experience in the following (or closely related) fields may be substituted for the required education on a year-for-year basis: Meeting and event management, project management, public relations, communications
  • Experience: Three years of full-time experience working in the following (or closely related) fields: Meeting and event management, project management, public relations, communications
  • Knowledge of principles, objectives, procedures of government planning and programming, planning methodologies and purchasing rules and regulations.
  • Skill in handling multiple tasks, prioritizing, and meeting deadlines
  • Skill in effective oral and written communication
  • Skill in exercising sound judgment and effective decision making
  • Ability to receive and respond positively to constructive feedback
  • Ability to work cooperatively with others in a professional office environment
  • Ability to provide excellent customer service
  • Ability to work in person at assigned OAG work location, perform all assigned tasks at designated OAG workspace within OAG work location, and perform in-person work with coworkers (e.g., collaborating, training, mentoring) for the entirety of every work week (unless on approved leave)
  • Ability to arrange for personal transportation for business-related travel
  • Ability to work 8:00 a.m. – 5:00 p.m., Monday through Friday
  • Ability to work more than 40 hours as needed and in compliance with the FLSA
  • Ability to lift and relocate 30 lbs.
  • Ability to travel (including overnight travel) up to 10%

PREFERRED QUALIFICATIONS

  • Experience: Five years of project management experience in relevant areas of project assignment
  • Knowledge of government meeting planning through industry periodicals, participation in associations and attendance at conferences. Knowledge of government organization and administration.
  • Skills in project management monitoring and in the use of a computer and applicable software.
  • Abilities: Customer service skills
  • Certifications: May require certification as a Certified associate in project management (CAPM) or Project Management Professional (PMP).
  • Other Language: Ability to proficiently read, write, and speak English
  • Ability: To type 35 wpm
