GENERAL DESCRIPTION
The Environmental Protection Division is seeking an Executive Assistant who will handle a variety of administrative tasks to include assisting the Division Chief, Deputy Division Chiefs, and Office Manager in day-to-day tasks such as scheduling, responding to calls, and preparing division reports. Additional work involves opening new cases in the case management system, preparing travel requests, preparing reimbursements and purchase requisitions, and performing administrative tasks as requested by management.

ESSENTIAL POSITION FUNCTIONS
- Coordinates calendars, meetings, and conferences; develops trip itineraries and presentation and handout materials; and coordinates travel for division attorneys.
- Assists with opening cases and creating case reports.
- Prepares reimbursement requests and purchase requisitions.
- Prepares and edits reports, correspondence, memos, charts, presentation slides, forms, and spreadsheets.
- Greets visitors, answers and screens phone calls, takes messages, and sets up conference calls for division.
- Provides backup support to the Office Manager.
- Monitors the progress of assignments and ensures that deadlines are met.
- May communicate objectives, tasks, and decisions to staff on behalf of management.
- May assist with budget preparation.
- May approve and monitor the purchase of office supplies.
- May provide guidance to others.
- Performs related work as assigned
- Maintains relevant knowledge necessary to perform essential job functions
- Attends work regularly in compliance with agreed-upon work schedule
- Ensures security and confidentiality of sensitive and/or protected information
- Complies with all agency policies and procedures, including those pertaining to ethics and integrity
MINIMUM QUALIFICATIONS
- Education: Bachelor's degree from an accredited college or university; experience in the following (or closely related) fields may be substituted for the required education on a year-for-year basis:
- Experience: Two years of full-time experience working in the following (or closely related) fields: working as an Executive Assistant or in an administrative role in a dynamic environment
- Knowledge of office practices, and standard administrative procedures
- Must demonstrate initiative and independent judgment, with critical analysis
- Experience providing administrative support or legal assistant experience
- Advanced Microsoft Office skills in Outlook, PowerPoint, Word, and Excel
- Skill in handling multiple tasks, prioritizing, and meeting deadlines
- Skill in effective oral and written communication
- Skill in exercising sound judgment and effective decision making
- Ability to receive and respond positively to constructive feedback
- Ability to work cooperatively with others in a professional office environment
- Ability to provide excellent customer service
- Ability to work in person at assigned OAG work location, perform all assigned tasks at designated OAG work space within OAG work location, and perform in-person work with coworkers (e.g., collaborating, training, mentoring) for the entirety of every work week (unless on approved leave)
- Ability to arrange for personal transportation for business-related travel
- Ability to work more than 40 hours as needed and in compliance with the FLSA
- Ability to lift and relocate 30 lbs.
- Ability to travel (including overnight travel) up to 5%
