Position Summary
Reporting to the Logistics Manager, the Logistics Coordinator II will be responsible for ensuring timely deliveries for all assigned sales contracts. The ideal candidate should be highly organized, detail oriented and capable of multi-tasking. Must be highly proficient in Microsoft Outlook and comfortable navigating a computer with ease to manage email communications and other digital tasks effectively as majority of communication with vendors/customers is via email. The ability to work with deadlines and under pressure is a must as all of our vendors have daily deadlines for orders to be available the following day. This is a significantly important role, and the candidate is expected to exercise discretion and judgement in managing day-to-day business on customer accounts. The individual has authority to make independent decisions on matters which affect the overall business. Potential employee must develop an understanding of customers' needs and take actions to ensure that such needs are met. This position will work to maintain positive relationships with vendors and customers, ensuring success for the Covoya Specialty Coffee team.
Position Responsibilities
- Manage all aspects of customer sales contract fulfillment including contract review, credit standing, on-time deliveries, freight coordination, freight pricing, and warehouse coordination to ensure order fulfillment within specified timeframes.
- Complete customer order invoicing and distribution of invoices.
- Manage customer inquiries in regard to complaints, product information, pricing information and product development referrals.
- Work closely with 3rd party vendors such as warehouses, Truckers, Freight Brokers etc.
- Work with Service providers to verify accurate billing of services and reduce direct costs of logistics.
- Provide support to the Accounts Receivable (AR) team to correct allocation of payments and resolve any payment discrepancies / issues.
- Manage customer claims for shortages or losses. Resolve concerns and address issues quickly.
- Manage warehouse inventory reconciliations on a monthly basis.
- Participate in on-site warehouse counts on a semi-annual basis.
- Manage special projects for Specialty Coffee.
- Perform other duties as assigned.
Position Requirements
- High School Diploma is Required. Bachelor’s degree related to business management or logistics is preferred.
- Two (2) years of experience in Customer Service, freight management, or logistics is required.
- Familiarity with the coffee/commodity or food industry is strongly preferred.
- Understanding of INCOTERM, Shipping Industry & local US Transportation industry is preferred.
- Strong attention to detail and ability to multitask and meet multiple competing demands is required.
- Proficient computer skills, including Microsoft office, is required.
- Expertise in Microsoft Excel is highly preferred.
- Excellent communication skills, both verbal and written, are required.
