Position Summary
We have an opportunity for a Billing Coordinator to join the firm’s expanding Financial Operations department. The Billing Coordinator is responsible for Billing, including all pre-billing Visatrax, Blackbox and Elite maintenance (adding cost centers, revising billing credits, running pre-billing reports to assure necessary custom data has been entered into Visatrax). The successful candidate must reside proximate to Salt Lake City, UT, Las Vegas, NV, and Phoenix, AZ and this position may be remote or hybrid.

Essential Functions
- Paying a large volume of invoices from outside vendors
- Processing check payments from individuals and assigning extensions for all special billing cases
- Processing credit card payments
- Closing files in Visatrax
- Processing checks
- Emailing clients about past due balances/aged accounts
- Fee quotes to clients and Ogletree staff and clients
- Assigning all global cases
- Preparing Excel billing reports for clients and Ogletree staff
- Cancelling/crediting closed assignments
- Closing files in Visatrax
- Upkeep of numerous fee schedules in the Blackbox
- Reassigning cases (reassign in Zoom and transfer billing credit in Elite)
- Responding to invoicing questions
- Uploading time from the Blackbox into Elite and running tote reports
- Assist with maintaining trust account
- NVC payments
- Organizing cashier’s check requests
- Assist the secretaries with process questions
- 4 years of accounting experience with 2 plus years of higher education or 7 years of accounting experience without higher education.
- Analytical – able to mine and collect data.
- Strong Organization, communication, and problem solving skills.
- Teamwork – willing and eager to help others and share knowledge and skills.
- Dependability – follows instructions, responds to management direction. Willing to commit to additional hours when necessary to reach Firm objectives.
- Initiative – takes independent actions and reasonable risks; Asks for and offers help when needed.
- Knowledge – basic and advanced accounting knowledge.
- Leadership – strong leadership skills, able to motivate others.
