What are the responsibilities and job description for the Billing Specialist position at Ogletree Deakins?
Position Summary:
We have an opportunity for a Billing Specialist to join the firm’s expanding Billing department. The Billing Specialist position is responsible for managing a portfolio of client bills. This includes working with attorneys on production of the bills with emphasis on understanding the importance of adhering to client guidelines. The successful candidate must reside proximate to Atlanta, GA, Charlotte, NC, or Greenville, SC and this position may be remote or hybrid.
Essential Functions:
Collaborate with attorneys and staff to create, distribute, edit, post and submit legal bills via various methods
Maintain a list of special arrangements, billing guidelines, attorney preferences, billing rates, fee caps, formatting and expense requirements for client.matters and ensure these requirements are adhered to
Prioritize and meet aggressive deadlines
Work with the Rates Team to ensure rates are properly assigned per client guidelines
Work with the Matter Maintenance Team on updates to client matters requested by clients or attorneys once matters are opened
Collaborate with the eBilling Team to assist in the successful submission of bills, along with resolving rejections and appeals
Resolve billing-related issues from internal and external clients
Coordinate with other teams within the Accounting department to address questions/problems related to the billing process
Prepare adhoc reports, providing analysis of financial and historical data
Resolve complex billing issues by working with the Billing Attorney and client
Proactively recommend improvements to existing processes
Track status of insurance company billing engagements to ensure compliance with billing requirements set forth by various insurance company clients, and/or those serving as insurers to existing clients
Requirements:
2+ years of billing experience required
Legal billing experience preferred
Aderant experience is a plus
Strong Microsoft Office skills, particularly with Excel and Outlook
Strong oral and written communication skills including the ability to interact with all levels of staff and attorneys
Must be customer service oriented with strong problem solving skills
Must be detailed oriented and possess strong organizational skills
Ability to work under pressure and handle multiple tasks simultaneously
Ability to work overtime, as needed in order to fulfil the firm’s goals
