Your Opportunity

Ohana Realty is seeking a dedicated and detail-oriented Sales Associate with strong interpersonal skills to join the sales team at Montage Residences Healdsburg—a luxury residential community situated within the 258-acre Montage Healdsburg resort in Northern Sonoma, California. This key role will focus on the sales, transactional, and operational needs of our residential brokerage, supporting our ongoing objective of selling world-class real estate across our luxury properties. As an essential team member, you will provide critical support to the entire sales process, helping uphold our reputation for excellence and enhancing the client experience.

This position is based in our Healdsburg sales office and reports directly to the Sales Manager of Montage Residences Healdsburg.

Key Responsibilities

Key responsibilities for this role include :

  • Executing on our relationship-based sales strategy by building and maintaining relationships with prospective buyers, existing homeowners, brokers / agents, and community members.
  • Supporting sales by performing outreach to referral sources and potential leads, managing and qualifying incoming leads, conducting property tours, and crafting memorable client experiences.
  • Overseeing daily on-the-ground sales activities, including client engagement during 'floor time' at the onsite sales gallery, and contributing to each transaction as an active participant in our collaborative, team-based sales process.
  • Conducting market research, staying current on luxury market trends and competing developments, and providing data insights to the team.
  • Assist in drafting and sending original purchase contract documents, tracking transaction milestones, and maintaining client communication to facilitate a seamless closing experience.
  • Managing key CRM database functions, including capturing client activities and updates, maintaining data integrity, and ensuring consistent pipeline progression.
  • Providing sales operational support by monitoring inventory of marketing materials, ensuring upkeep of sales equipment and vehicles, contributing to the creation of standard operating procedures, handling special projects as needed, and ensuring that the sales gallery reflects the standards of Ohana Realty and Montage Healdsburg.
  • Delivering sales reports and prospect updates to the Sales Manager and Developer.
  • Assist with hosting and executing all sales-related events, including weekly happy hours, open houses, and VIP broker events.
  • Contributing to successful on-the-ground execution of marketing initiatives by supporting collateral, photo shoot, and event needs.
  • Serving as a liaison between homeowners, the Homeowners' Association (HOA), Montage hotel staff, the residential concierge team, and Ohana Design & Build.
  • Being an ambassador in the community for Montage Residences Healdsburg and Ohana Realty.

Qualifications

  • High school diploma (Bachelor’s degree preferred).
  • A California real estate salesperson license is a plus, but not required.
  • Previous branded hospitality or real estate sales experience (background in luxury $1M whole ownership properties preferred).
  • Proficiency in CRM systems (Salesforce experience is a plus), Microsoft Office Suite, and real estate transaction management software.
  • Ability and excitement to take initiative, problem solve, make rational decisions, and thrive in a fast-paced environment.
  • Professional demeanor and presentation, with demonstrated relationship-building skills and ease of interaction with discerning clientele.
  • Exceptional attention to detail and ability to manage multiple priorities simultaneously.
  • Ability to work weekends, holidays, and evenings as needed for client engagements and events.
  • Collaborative and team-player attitude.
