General Description:

Reporting to the Anesthesiologist Assistant Program Director, and appropriate faculty as directed, the Program Coordinator ensures the efficient operation of the AA program. Responsibilities include, but are not limited to, assisting the faculty and program director as needed; managing the admissions process, program management through both didactic and clinical phases, serving as the primary contact for the program for students and prospective applicants, and confidential maintenance of student files. The Program Coordinator assists the Director in activities to ensure compliance with University policies and procedures and identifying competencies for the AA Program that reflect the knowledge and skills necessary for the successful completion of the Program, CAAHEP accreditation, passing of the NCCAA board examinations, and professional practice.

SPECIFIC DUTIES

Administration

  1. Recruitment of students working with the Program Director, Assistant Program Director, and the AA Faculty.
  2. Chairs the AA Admissions Committee and conducts screening of applications through CASAA and applies program determined admission rubric.
  3. Categorize and track all applications per CASAA application cycle and report program determined statistics to the Program Director and Vice President of Academic Affairs.
  4. Participates and assists with the interview and application process.
  5. Assist program faculty with correspondence and scheduling of didactic instructors and clinical sites.
  6. Assist the Program Director in the management of the program budget. Process all invoices and payments for program.
  7. Continuous collection of pertinent data for self-study/accreditation and quality improvement as directed by the faculty and program director.
  8. Ensure database(s) maintenance and entry which include(s) student and applicant information, and clinical rotation data as determined appropriate.
  9. Maintain confidential student files with all appropriate and required items.
  10. Obtain all required documentation from students including immunization records, proof of health insurance, etc. to ensure compliance with University and AA professional requirements.
  11. Obtain, review and categorize all required materials for matriculating students including tuition deposits, prerequisite coursework, appropriate transcripts, documentation of anesthesia shadow hours, etc. to ensure compliance with accreditation standards.
  12. Assist the program director and faculty with production of program materials including, but not limited to: recruitment materials, admissions materials, and programmatic materials such as syllabi.
  13. Coordinate public relations and marketing for the program with social media.
  14. Organize and coordinate interviews with candidates.
  15. Assist with program events including open houses and other events as needed.
  16. Answer telephone and email inquiries from applicants and other interested parties and serve as receptionist for the program.
  17. Perform transcript audits for potential applicants and communicate to program faculty.
  18. Program committees as requested or designated.
  19. Continuous collection of pertinent data necessary for self-study/accreditation and quality improvement which may include exit interviews, NCCAA performance and graduate surveys.
  20. Coordinates and helps to maintain student records to ensure compliance with clinical site requirements.
  21. Performs other appropriate administrative duties as assigned by the Program Director.

Students

  1. Maintain up to date student records/files.
  2. Assists in tracking and assessing preceptor evaluations of students and student site evaluations.
  3. Assists in the assessment and monitoring of student patient activity logs in the clinical tracker aspect of AA manager software.
  4. Assists in developing and administering graduate and employer surveys and updating program job communication bulletin board.
  5. Performs other appropriate student activities as assigned by the Program Director.

Qualifications

  1. Possess a Bachelor degree or higher.
  2. Possess exceptional communication and organizational skills.
  3. Have a collaborative approach to education and clinical site development.
  4. Possess excellent verbal, written and interpersonal skills necessary to deal effectively and courteously with students, staff, faculty, health care professionals and the public.
  5. Computer proficiency.
  6. Sensitivity to the expectations of students, staff, faculty, health care professionals and the public.
  7. Sensitivity to diversity and multi-cultural issues.
