The Program Coordinator will play a key role in coordinating and supporting various faculty programs and activities within the Division of Hospital Medicine in the Department of Internal Medicine at Ohio State University. This position works closely with faculty, staff, and leadership to ensure the successful recruitment, onboarding, mentorship, and development of faculty members. The Program Coordinator will also support strategic planning, manage key faculty programs, and provide administrative support to physician onboarding amp; development initiatives.
Key Responsibilities
- Faculty Recruitment amp; Onboarding
Coordinate faculty recruitment activities, including recruitment interviews, onsite visits, and the execution of recruitment booths at national conferences.
Collaborate with the Program Manager to plan and coordinate over 40 faculty recruitment onsite visits annually.Serve as the primary liaison to external contacts, hiring committees, and recently recruited faculty.Provide guidance to faculty candidates during the pre-employment process, ensuring smooth transitions into the division.Develop and implement comprehensive onboarding plans for new faculty, ensuring alignment with institutional policies and faculty needs.Monitor new faculty progress during their first year, making adjustments to onboarding plans as needed.Faculty Development amp; MentorshipCoordinate the Peer Mentorship Program, providing strategic support and administrative assistance to ensure the program's success.
Support the planning and execution of the New Faculty Professional Retreats and Development Programs.Collaborate with the Program Director for the Clinician Educator Fellowship Program on recruitment and onboarding of incoming fellows.Coordinate special professional development events to enhance faculty engagement, knowledge, and skills.Program Coordination amp; SupportServe as the point of contact for physician faculty reappointments, supporting faculty through the process in compliance with Department and OSU guidelines.
Provide ongoing administrative support for various faculty programs, including feedback collection, analysis, and reporting on recruitment and retention metrics.Create and maintain detailed reports, spreadsheets, and presentations to support faculty development and strategic planning.Strategic Planning Support amp; CommunicationAnalyze and report on faculty recruitment, retention rates, and best practices.
Contribute to the development of operating procedures and help identify opportunities for improvement in operational, educational, and developmental areas.Ensure clear and effective communication with both new and current faculty regarding onboarding and development programs, initiatives, and opportunities.Analyze survey data and provide insights to leadership for informed decision-making.Qualifications
Education : Bachelors degree in a related field or equivalent experienceExperience :3-5 years of experience preferred in an administrative role, preferably in a higher education or healthcare setting.
Experience in physician recruitment, onboarding, or mentorship programs highly preferred.Strong knowledge of academic and administrative processesSkills :Excellent organizational, communication, and interpersonal skills.
Ability to manage multiple projects simultaneously and meet deadlines.Strong proficiency in Microsoft 365 (Excel, Word, PowerPoint) and other relevant software for report creation and data analysis.Ability to work independently and collaboratively within a team environment and in support of strategic goalsDetail-oriented with strong problem-solving skills.Additional Information
