What You Will Contribute to OHM Advisors
As a part-time Administrative Assistant, you will provide essential support for the daily operations of our Memphis office. This role involves direct interaction with staff at all levels, managing a variety of administrative duties, and maintaining smooth office operations. You’ll contribute by ensuring seamless workflows, fostering positive client and team relationships, and helping advance our mission of Advancing Communities. Your positive, customer-first attitude will be instrumental in supporting the team, whether working independently or collaboratively, and ensuring all interactions reflect our commitment to excellence.
Your Responsibilities
- Handles daily internal and external phone calls and emails and direct inquires to the appropriate department(s)/staff members.
- Daily coordination with office leaders.
- Prepare memos, correspondence, reports, and other documents.
- Arrange gifts and client arrangements as well as greets clients/guests requested by management.
- Organize and maintain office administrative digital filing system.
- Maintain inventory of supplies for employees and prepare supply orders as requested or needed.
- Prepare purchase orders or check requests as requested or needed for clients, vendors, or employees.
- Credit card reconciliation monthly for employees and office credit card receipts.
- Scheduling internal and external meetings, creating agendas, facilitating meetings, and preparing & distributing meeting minutes as needed.
- Coordinates travel arrangements as needed.
- Work with local team committees assisting employee wellness initiatives and employee activities.
- Maintain OHM fleet in local office assisting with vehicle maintenance, disposal and procurement of vehicles, licensing, monthly fuel receipts, and liaison with corporate fleet manager.
- Additional duties as needed, requested or assigned.
Requirements
- Associate’s degree in business administration or equivalent experience.
- 3–5 years of administrative experience, with strong written and verbal communication skills.
- Proficiency in Microsoft Office and Adobe Acrobat.
- Strong teamwork and interpersonal skills, with the ability to build positive connections with clients and peers.
- Notary public preferred or willing to apply.
