Oil States is currently looking for qualified candidates for the position of Document Control Specialist for our Tulsa, Oklahoma location in our organization, the Document Control Specialist has a critical and challenging role in helping achieve innovation and meeting our commitments.

POSITION SUMMARY:

Responsible for maintaining, updating supporting documents within the Quality Management System, and effectively utilizing OSI Tulsa document control database Master Control. Will assist management in adhering to all procedures, and policies regarding the proper handling of company documents, and represent OSI Tulsa as Master Control Sub-Administrator.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Perform evaluations and document audits for the whole company for accuracy and effectiveness. Will also perform regular audits on company documents to ensure that all documents are properly submitted to all departments
  • Ensures that all documents have no errors in filenames, submissions, etc. before submitting for final approval in Master Control.
  • Responsible for uploading controlled documents, drawings, customer requirements, and specifications, under the company document control management system Master Control.
  • Ensures the establishment of approved formats and/or structures for the organization of filing systems that are computer-based and developed within approved software applications including Excel, Access, Word, PDF, etc. within the company document control management system Master Control.
  • Maintains a log of all document copies provided to internal and external entities and the reason for distribution (to include copies retrieved during internal audits by customers and regulatory entities).
  • Serves as OSI Tulsa Master Control Sub-Admin. by performing and addressing help desk support to end users and assisting other OSI Divisions when called upon.  
  • Provide continual database enlargement by performing & facilitating duties of scanning and the addition of historical documentation.
  • Documentation distribution per OSI Tulsa QMS procedures.
  • Perform as OSI Tulsa facility Master Control Sub-Admin., conduct internal training, and maintain Master Control compliance by assisting in new software versions and module testing at OSI Tulsa.
  • Participate in training opportunities to maintain knowledge and stay abreast of best practices.
  • Performs other assigned duties as required.

QUALIFICATION REQUIREMENTS:

  • High School Diploma. With document control/record retention experience or related field with 3 years of experience. Utilization of Master Control System is a plus but not required.
  • Excellent working knowledge of all Microsoft Office-related products.
  • Working knowledge of computer-related equipment & related software including scanners and laminating systems.
  • Understanding of the Design and Manufacturing documentation process.
  • Strong interpersonal skill communication abilities.
  • Outstanding organizational skills.
  • Ability to work independently and handle multiple tasks
  • Knowledgeable in ISO/API Quality Requirements. Certification as an internal auditor is a plus.
  • Ability to work as a member of a team and to communicate effectively by listening, speaking, and writing.
  • Strong written, verbal, and technical communication, interpersonal and organizational skills.
  • Ability to work independently and handle multiple tasks.
  • Analyzing information and implementing process improvement ideas.
  • A solid understanding of safety principles in the manufacturing environment is a plus.
  • Detail-oriented and attention to detail.

PHYSICAL REQUIREMENTS

  • Prolonged sitting.
  • Some moderate lifting – min. 20lbs.
  • Walking, standing, reaching, and bending may be required.

SAFETY SENSITIVE POSITION:

  • This position is designated as a Safety Sensitive Position as defined by the Oklahoma Medical Marijuana and Patient Protection Act.
