POSITION SUMMARY:
Responsible for all aspects of the office administration to ensure that Military Products department delivers product on time, on budget, and meets the specified requirements. The Office Manager is directly responsible for ensuring that the office space runs efficiently and has supervisory duties for all office support personnel. Provide campus wide support for the NOFORN Server for Drawing, Specs, Test Data assistance, etc. Responsible for the Classified document control for Military Products.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Supervision of front office support staff.
- FSO Document Control Officer for Military Products (control classified cabinet & maintenance., audit support, visit requests, DD254 maintenance)
- Provides support to Customers on Military Products programs.
- Support Document Control in CUI/NOFORN environment
- NOFORN Server/Management Support
- Responsible for archiving all CUI documents and controlling revisions.
- Support the FSO and IT Security with all CMMC and related security programs
- Responsible for completion of required Military forms and certifications.
- Responsible for Product Shipping including assisting with Export Licenses (Product, Vendor Product, Transportation Claims, Manufacturing Engineering Order Returns)
- Responsible to process and transfer documents via customer sponsored document databases (SPARS (EB and HII/NNS), Oracle, EXOSTAR, DISS, DDTC, Bechtel Plant, Sam.gov., JCP, etc.).
- Obtain, file, and review incoming purchase orders from customers.
- Code & Approve all Bills for product shipping to Aerospace (Aramark, Unifirst, etc.)
- Maintain Product Organizers in Master Control for all Military Products
- Provide support for internal and external audits for department programs.
- Maintains the Ship-In-Place inventory counts and insurance waivers from sales/shipping each month
- Write and process customer milestone payment certifications for design programs.
- Responsible for Glovia financial database entries and maintenance of various application modules.
- Office supply & Inventory supply Ordering (includes coffee)
- Meeting Support (paperwork, refreshments, conference room assembly, lunch cater)
- Provides support to Engineering, Manufacturing, Quality Testing Facility, Quality Control, Purchasing, Accounts Payables, Accounts Receivable, Payroll and Cost Accounting departments.
- Process government forms needed to support sales (DD2345, HII/NNS Onboarding, etc.)
- Support customer price quote processing.
- Perform other assignments or duties as required.

QUALIFICATION REQUIREMENTS:
- Requires at least ten years of related office experience.
- US citizenship required due to government contracts.
- Requires proficient computer skills (Outlook, Word, Excel, Inventor, Autocad, Photo Publishing software, PDF, and others as necessary).
- Requires excellent verbal and written communication skills.
- Requires good mathematical skills.
- Requires strong organization skills.
- Requires strong teamwork in and across departments.
- Requires multi-tasking.
- Capability to attend offsite training, as needed
- Requires minimal travel.
- Requires Secret level security clearance.
PHYSICAL REQUIREMENTS

- Lifting light to moderately heavy boxes (less than 30 lbs.)
- Walking, standing, reaching, bending, and climbing stairs.
