What are the responsibilities and job description for the Office Supervisor position at Okaloosa County?
Supervises staff; provides, administrative, technical, clerical and operational support to assigned Department/Division.• Supervises, trains, evaluates, coordinates work schedules and reviews the performance of assigned staff; may make recommendations related to hiring and disciplinary action.
• Implements and communicates operational techniques, policies, procedures and programs to ensure maximum operating efficiency.
• Prepares and processes documentation and reports for disaster projects and/or various grants programs; may assist with monitoring the administration of grant programs.
• Performs and oversees assigned staff in performance of various accounting functions, including, but not limited to, creating and updating accounts, performing all aspects of billing and accounts payable processes. May perform the preparation of requisitions and purchase orders.as required. May assist with preparation of accounting-related reports, etc.
• Prepares and distributes news releases and public service announcements for the department.
• May assist with budget preparation and/or monitoring of various budget accounts; may prepare documentation related to cost accounting, billing and collections.
• May approve p-card transactions, reconcile monthly statements and update department accounting/budget records.
• May prepare travel authorization and expense reimbursement requests and settlement reports.
• May perform timekeeper duties.
• May oversee and maintain office filing system, including paper and electronic files.
• Responds to inquiries and complaints from the public, county departments and outside organizations; takes appropriate action to resolve issues; escalates as appropriate.
• May maintain department calendars, schedule meetings and functions; coordinates arrangements for meetings, events and functions as required.
• May perform Notary Public duties.
• Performs related duties as required.Education, Training and Experience: Associate’s degree with coursework emphasis in Business Management, Administration, or closely related field supplemented by two (2) years of progressively responsible experience in administrative support and cost accounting functions, or an equivalent combination of education, training and experience that provides the required knowledge, skills and abilities. Requires a minimum typing speed of 50 wpm. Experience in a supervisory or lead capacity preferred. Experience with Microsoft Office software is preferred. Experience with work order and/or financial software such as QuickBooks is preferred.
Licenses and/or Certifications: Requires a valid driver license. May require certification as a Notary Public within six (6) months of hire.Physical Requirements: Requires the ability to effectively operate modern office equipment, to include, copy/fax machines, and any related peripherals. Must be able to exert 20 to 50 pounds of force occasionally, or 10 to 25 pounds of force frequently, or a negligible amount constantly to lift, carry, push, pull, or otherwise move objects. Physical demands are essentially those of sedentary work.
Language Ability: Requires the ability to communicate effectively in English, including the ability to convey, record and exchange information; requires the ability to explain procedures, and to give, receive and follow oral and written instructions. Requires ability to read basic technical data, policy and procedure manuals, codes, etc. Requires the ability to prepare forms and reports using prescribed formats, and adhering to all rules of spelling, grammar, punctuation, diction and style. Requires the ability to communicate with a broad array of individuals from various professional backgrounds.
Intelligence: Requires the ability to apply principles of logical thinking to define problems, collect data, establish facts and draw valid conclusions; to interpret a variety of instructions in written and oral form; to make independent judgments in absence of supervision; to acquire knowledge of topics related to primary occupation.
